Assistant to the Director

Pulitzer Arts Foundation is currently seeking to fill the position of Assistant to the Director. The ideal candidate will possess excellent written and verbal communication skills, a high level of poise and discretion, excellent organizational skills and attention to detail, and the ability to manage multiple tasks in a fast paced office environment. The position is full-time with excellent benefits.

Position: Assistant to the Director

Reports to:  Director

Status:  Full-time / Non-Exempt

POSITION RESPONSIBILITIES AND DUTIES

Administrative Support to the Director

  • Manage the Director’s calendar and schedule meetings
  • Manage communications for the Director’s office
  • Coordinate travel and itineraries for the Director, Board of Directors, and visiting guests
  • Create expense reports for travel and credit card expenses, submitting monthly credit card reconciliations and processing check requests
  • Manage and update the Director’s contacts in Gmail and Salesforce
  • Assist with meeting minutes and prepare meeting materials as needed
  • Assist with general administrative duties, record keeping, and filing        

Board of Directors Liaison

  • Organizes Board meetings, including travel, lodging, meals, transportation, and presentations
  • Attends all Board meetings and records meeting minutes
  • Facilitates communication with the Board of DirectorsOffice Management
  • Maintain office supplies for the administrative office and kitchen, and manage the office supply budget
  • Schedule staff meetings and record minutes of weekly staff meetings
  • Assist in the organization of special events, dinners, tours, and staff events
  • Perform role as the public face of the museum by receiving guests and fielding telephone inquiries
  • Establish and maintain accurate files and records for office supply vendors
  • Participate in department meetings and interdepartmental meetings

PREFERRED EXPERIENCE AND BACKGROUND SKILLS

  • Associate’s or Bachelor’s degree preferred, and minimum of one year administrative experience
  • Uphold a high level of discretion
  • Excellent verbal and written communication skills
  • Self-motivated and resourceful
  • Maintain a high level of detail and organization
  • Ability to prioritize and multi-task under pressure
  • Ability to work independently and as a member of a team
  • Proficient in Microsoft Office Suite, Google Applications, and database management
  • Strict adherence to professional ethics
