Receptionist/Administrative Assistant

Description/Summary: Administrative support and customer service position at a not-for-profit senior housing and community center. The receptionist serves as the “face” of the agency, providing assistance to residents, community participants; and clerical support to fellow staff members including data entry and basic compliance related tasks; responsible for telephones and staffing of management office reception/front desk area.

Reports To:  Community Relations Director

Hours:  40 hours/week

Pay Range:  $10-$13 per hour depending upon experience; may be eligible for excellent benefits

  • Highly trustworthy individual; ability to deal with confidential information with discrepancy
  • Outstanding verbal communication skills and excellent “people” skills
  • Demonstrated proficiency in Microsoft Office Programs, ability to master database programs such as GIFTWORKS
  • Ability to utilize office equipment such as printers, fax, copiers, scanners, and postage machine
  • Interest in working with a multi-disciplinary staff team, diverse client population
  • Possesses excellent organizational skills, is detail oriented, able to multi-task and has work history with solid attendance, punctuality records
  • High School degree and 5+ years related work experience required; Associate/bachelor’s degree and relevant work experience preferred

Job Responsibilities:

  • Manages telephone and in person customer contacts; provides information and referrals to appropriate staff members.
  • Provides direct service to residents, including generating maintenance work orders; managing registration and payment for programs, trips, classes; handling communication and distribution  related to mail, packages, deliveries; collecting, recording and tracking fees paid at front desk; initiating contacts and correspondences regarding schedule changes, maintenance issues, appointments
  • Supports staff by scheduling appointments, greeting and directing guests, clients, vendors, volunteers, residents, board members and other service providers and visitors; communicating information and issues of concern to appropriate staff members; preparing flyers, notices, memos; entering information into various computer database applications
  • Provides primary communication with staff, residents, first responders, alarm monitoring firm regarding emergencies; and transitioning and relaying information to evening support staff
  • Notifies maintenance staff about urgent needs that require immediate attention; records work order information
  • Provides administrative support including word processing, copying, scanning, filing, mailing; managing supplies, appearance and function of front desk reception areas
  • Provides guest services such as coffee and meeting set up
  • Performs other related tasks as assigned
