Donald Danforth Plant Science Center
Non-exempt (hourly paid)
The Donald Danforth Plant Science Center has an immediate opportunity for an Administrative Assistant to provide support to several scientific Principal Investigators and their laboratories and to the Director of the Integrated Microscopy Facility.
Primary responsibilities include:
- Assisting with grant submissions, progress reports, biosketches, CVs and other science related administrative tasks
- Ordering supplies and equipment for the lab (includes maintaining related bids, quotes, etc.)
- Tracking project budgets, startup, and all expenses
- Processing corp card and expense reimbursements
- Researching and coordinating travel arrangements (including conference registrations)
- Maintaining and Updating PI Lab pages on Danforth website or elsewhere
- Coordinating lab meetings – create schedule, send meeting reminders, schedule speakers, etc.
- Manage calendars and PI scheduling as needed
- Enter punch change requests and approve timesheets for hourly personnel in labs
- Proofreading grant narratives and manuscripts (may include submitting to scientific journals)
- Creating domestic and international shipments and associated tasks including filling out customs forms, estimating duties, etc.
- Assist with job postings on Paycom and coordinate applicant screening and interviews
- Complete any administrative tasks that the lab members need – reserving rooms, reimbursements, timesheets, reserve parking passes, etc.
- Answering phones and greeting guests
- Assist with special projects as assigned such as helping to organize scientific meetings and conferences.
- Compile and track monthly equipment utilization statistics and charges
- Support creation of quotes and internal and external billing processes
- Perform other duties as assigned by Supervisor

In addition, the successful candidate will have an excellent command of the English language and be comfortable with scientific terminology.
Qualifications
The successful candidate will:
- Possess a bachelor’s degree
- Solid computer knowledge with proficiency in MS Office Suite (Word, Outlook, PowerPoint & Excel) is required
- Experience with Google Docs is preferred
- Must possess the ability to work independently and the ability to manage multiple, competing priorities while demonstrating patience, tolerance and the ability to maintain morale
- The ideal candidate will be eager to learn and share knowledge, and will possess a strong service commitment.
