Summary:

The Resource Development Coordinator helps further the mission of FamilyForward by acting as primary data entry and data maintenance staff, coordinating volunteers, and supporting the Development department as needed. This role enhances the donor and volunteer experience by (1) ensuring the Development team has timely, accurate, and useful donor information and reports; (2) recruiting, coordinating, and training volunteer groups and individuals for one-time, episodic, or ongoing opportunities; and (3) providing general administrative support for the Development team.

Responsibilities include assigning and tracking donor activities for the Development team and CEO; maintaining the integrity of donor information and constituent files in Raisers Edge NXT to preserve accurate records of the agency’s stakeholders; timely acknowledgement of contributions; monitoring and reporting information for donors that could enhance the agency’s key relationships; running monthly reports for staff members; and producing on-demand reports.

Essential Duties and Responsibilities:

Carries out the vision, mission, and core values of FamilyForward by completing the following functions.

Data Management:

  • Under the direction of Fundraising Manager, process and maintain accurate database records on all gifts, pledges, and special event transactions; ensure records are input and maintained consistently and in a manner that facilitates the use of the information in donor database. Create and maintain written procedures for database management.
  • Create gift schedules, enter recurring gift entries, and administer annual tax letters.
  • Acknowledge donor contributions within 72 hours of receipt.
  • Provide episodic, and ongoing monthly, quarterly, and annual reports to support Development team and CEO with donor cultivation and analysis.
  • Create reports for Finance and Accounting staff to reconcile donations.
  • Report and maintain accurate donor recognition to be used in publications.
  • Create and track constituent segments and outcomes for publications, appeals, and invitations.
  • Update donor contact preferences in donor database. Provide and maintain contact lists for print and electronic communications.

Volunteer Coordination:

  • Recruit volunteers via agency website, community outreach, social media, and United Way Volunteer Center.
  • For corporate groups, community organizations, individuals, and special events, facilitate volunteer orientation and match volunteer talents to agency needs.
  • Accurately track and report volunteer information including demographic data, preferences, relationships, and volunteer hours.
  • Engage and retain volunteers via regular communication and recognition.
  • Maintain United Way of Greater St. Louis Volunteer Center certification by creating and maintaining volunteer handbook and adhering to agency policies.

Administrative Support:

  • Provide administrative support for all special events and appeals, including assistance with mailings, phone inquiries, in-kind gift tracking, and other clerical duties as designated by Development team; attendance at special events is required and may require evening or weekend work.
  • Serve as integral member of Development team; communicate effectively with other staff.

Education and Experience:

  • Bachelor’s degree or equivalent experience required.
  • Minimum three years’ data entry and/or database management experience. Raisers Edge or RE NXT experience will greatly enhance candidate’s opportunity for success in this position.
  • Proficiency in Microsoft Office, including Excel, Word, and PowerPoint; ability to merge, create reports, and link worksheets and data.
  • Committee Membership: As directed by the Fundraising Manager.

Working Conditions: While performing the duties of this job, the employee is regularly required to talk or hear. Specific vision abilities required by this job include close vision and ability to adjust focus. Employee will frequently be required to lift files, open filing cabinets, and bend or stand on a stool as necessary. (Occasionally: 1-33%, Frequently: 34-66%, Continuously: 67-100%)
