Nurses for Newborns

Nurses for Newborns (NFN) is an independent non-profit organization serving thousands of babies and families each year in St. Louis City, County and numerous surrounding counties.

This is an in-office position, 5 days per week at either a ¾ time (30 hours week) or F/T (40 hours per week). This position includes NFN benefits.

The Administrative Coordinator provides daily administrative support to the CEO and acts as a liaison to the NFN Board of Directors. The Administrative Coordinator is primarily responsible for and ensures the proper functioning of the NFN office by interacting with the facility management company and other vendors. This position also provides limited backup support to the NFN Development Team.

Duties include:

·         Provides administrative support to the CEO, including maintenance of the CEO schedule and meeting arrangements.

·         Provides friendly customer service to visitors in the front office.

·         Provides administrative support and acts as a liaison to the NFN Board of Directors. Prepares board meeting notices and meeting materials, prepares and maintains board and committee meeting agendas and minutes.

·         Prepares and updates Powerpoint presentations with charts/graphics as needed.

·         Ensures NFN facilities are operating properly, efficiently and provides a suitable working environment for employees. Responds appropriately to emergencies or urgent issues as they arise. Serves as primary interface with landlord and facilities management vendors.

·         Negotiates facility and equipment-related contracts to improve efficiency and reduce operating costs. Reviews costs regularly.

·         Works in collaboration with the Chief Analytics Officer to manage utilities and communications infrastructure.

·         Ensures office equipment, such as copiers and fax machines are functioning properly and maintains proper levels of office/other supplies.

·         Serves as NFN safety committee chair and facilitates meetings. Creates manuals and procedures and ensures testing is carried out.

·         Assists the Development Department with planning and execution of events and other projects as needed in a backup capacity.

·         Tracks, reconciles, ensures proper processing of and follows up on Youth Opportunity Credit applications.

The ideal candidate will possess a bachelor’s degree and 1-3 years of progressively responsible office management experience with additional experience a plus. The following skills and abilities are key to success in this position:

Effective verbal, written and customer service interpersonal and communication skills necessary in dealing with co-workers, visitors, donors, volunteers, corporate supporters, community agencies, board members and NFN leadership

Competence in planning and organizing work with strong writing skills

Excellent computer skills, including competence in using Microsoft Office

Ability to multi-task, maintain confidentiality  and handle conflicting priorities and deadlines appropriately.

Ability to be flexible in a dynamic work environment
