Job Overview

The Executive Assistant will provide administrative support to the Executive Director, all Chamber Staff, and Board Members. This person will take initiative to improve and automate processes, create best practices, and provide top-tier customer service. The Executive Assistant will be involved in all aspects of Chamber operations from receptionist duties to marketing support, to event logistics. This person is detail and process oriented, consistently meets deadlines, and is a positive team contributor.

Job Responsibilities

The responsibilities for this position include but are not limited to:

·       Provide administrative support primarily to the Executive Director, and to all Chamber staff and board members as directed by the Executive Director.

·       Prioritize, draft, edit, and manage correspondence on behalf of the Executive Director and the Chamber, including sending regular communications to members.

·       Organize meetings, including scheduling, sending reminders, preparing required documents, taking notes, and organizing catering when necessary.

·       Provide public-facing customer service efforts by welcoming visitors professionally, answering phone calls politely, and executing solutions whenever possible and appropriate.

·       Coordinate event registrations, logistics, and associated communications.

·       Deliver marketing communications by posting on social media and scheduling emails.  Content will most often be created by other team members.  However, this position will be asked to create basic content in Canva from time to time.

·       Oversee the relocation packet program.

·       Develop processes and automations to create best practices and standard operating procedures for the Chamber staff, members, and volunteers.

·       Other duties as assigned

Job Qualifications

·       Excellent verbal and written communication skills.

·       Bachelor’s Degree in a relevant field preferred.  High School Diploma or Equivalent required.

·       Hands-on experience with Microsoft Office Suite, especially Word, Excel, and Outlook.

·       Experience using Canva software to produce professional materials.

·       Experience using social media platforms such as LinkedIn, Facebook, and Instagram.

·       Experience using customer/client databases.

·       Office Professionalism in behavior and appearance.

·       Best candidate will be detail-oriented, consistently meets deadlines, process oriented, flexible, adaptable, and a positive team contributor.

Working Conditions and Physical Requirements

This position works primarily in indoor office and event spaces with overhead commercial lighting and temperature-controlled environments. This position requires sitting for long periods of time at a desk in front of a computer screen. In addition, this person will be asked to use computer and office equipment that requires finger and wrist dexterity as well as the ability to be on a computer screen and/or phone for long periods of time. At times, the person in this position will be asked to attend events where they will stand for long periods of time greeting individuals.  This person must be able to lift up to 20lbs safely.
