Purpose:
Aids with and facilitates majority of the human resources processes for the department; assists with the employee health and welfare inquiries; serves as liaison between employees and insurance providers and provides administrative support to the members of the HR department which may include record-keeping, file maintenance, HRIS entry, scheduling meetings and interviews, assisting with the wellness programs, open enrollment, and career fairs. Maintains a high level of confidentiality with sensitive information.
Job Responsibilities:
•Assists with the benefits administration, including enrollment, changes, and termination, wellness, and employee recognition. Processes required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions. Reconciles benefits statements.
•Performs customer service functions by answering employee requests and questions with a high degree of professional sensitivity and awareness.
•Completes I-9, verifies I-9 documentation and maintains I-9 files, maintains and monitors the purge schedule for I-9s.
•Support Talent Acquisition by sourcing candidates, reviewing resumes, conducting phone screenings, and scheduling interviews.
•Submits online background checks and verifies findings.
•Attends career fairs; maintains a record of career fairs to include stats and continued feasibility based on data.
•Assists with the processing of personnel changes -new hires, promotions, salary changes, and terminations to accurately and timely meet payroll deadlines.
•Assists with unemployment claims and inquiries; provides support with workers’ compensation functions.
•Assists with recruitment and interview process, identifies qualified applicants of job postings, and conducts phone screenings. Updates status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process.
•Makes photocopies; mails, scans, and emails documents; and performs other clerical functions.
•Prepares new employee files, files documents into appropriate employee files and participate in file audits.
•Assists or prepares correspondence as requested.
•Facilitates New Hire Orientation (NHO); prepare new hire packets and other applicable NHO duties.
•Assists with performance appraisals, generates reports to reflect status so managers, supervisors and ELT are kept abreast.
•Organizes department meetings, manage and prioritize calendars, and assist with ensuring departments deadlines are met.
•Exercises a high level of discretion in all interactions while providing optimal support to manage multiple priorities; utilizes a strong aptitude for problem-solving.
•Performs other duties assigned to align with the mission and vision of YWCA.
Formal Education:
- Associates degree in a related field with 4 years’ experience or a bachelor’s degree in a related field with a minimum of 2 years’ experience.
- Human Resources certification credential preferred.
