JOB SUMMARY

This position is responsible for the logistical oversight and execution of complex and highly visible school events. Partners with other offices to assess program goals, determine target audiences and develop key messaging.

ESSENTIAL FUNCTIONS

Directs overall planning and strategy for live, virtual, and hybrid major School events including but not limited to: All-School Assemblies, Reunion Weekend, Homecoming, Open House, STLinSTL, Graduation, Board of Visitors, and major donor events.
Effectively communicates event logistics and details to all necessary departments (Maintenance, Grounds, Security, Food Service, etc.) and vendors, ensuring that all stakeholders are informed of policies, procedures, expectations, and plans in order to implement events successfully.
Attends major School events as needed to provide onsite logistical support and oversee event production.
Implements best practices and develops planning standards, policies, and procedures to be applied across all School events.
Ensures School compliance with local government regulations (special use permits, St. Louis County Department of Public Health, event permits).
Manages vendor network including but not limited to rental companies, florists, caterers, event production companies. Maintains these relationships and brings additional vendors onboard.
Negotiates, reviews, and approves vendor contracts.
Advises on creation of event budgets and ensures those events stay within budget while still delivering effective, high-quality events for internal and external guests.
Resolves issues on the spot with strategic thinking and communicates resolutions clearly and effectively.
Provides risk assessment evaluations during all planning stages of School events and provides a post-event report of considerations for next time.
Acts as a liaison as well as expert resource to other departments such as Admissions, Alumni & Development, Head of School Office, and College Counseling, during their event planning processes.
Manages and coordinates with parent and volunteer committees as necessary.
Provides input to strategic decisions that affect the functional area of responsibilities.
Participates in School-wide committees as appropriate.
Designs and manages the production of event collateral (Save the Dates, Invitations, Signage, Online Registrations, etc.) as needed, ensuring brand consistency across all communications and activities.
Oversees the rental of school facilities to include establishing rental guidelines, creating rental agreements, setting rental fees, and coordinating services.
Assists in managing/overseeing third-party events on campus as needed.
Undertakes projects as assigned at the discretion of the School.

JOB REQUIREMENTS AND QUALIFICATIONS

Bachelor’s Degree with a minimum of 5 years in special event planning.
Knowledge and understanding of meeting and event planning principles, requirements, procedures, and available resources.
Proficiency with Microsoft Office, Google applications and Adobe Creative Suite.
Ability to make decisions in ambiguous situations, and exercise good judgment based on information in a fast-paced, dynamic, deadline-driven environment.
Demonstrated organizational ability with strong attention to detail.
Strong interpersonal and communication skills; the ability to work effectively with a wide range of constituencies in a diverse community.
Ability to create, to compose, and to edit written materials.
Experience in working with and managing volunteers.
Work independently, problem solve, take initiative, set priorities and handle multiple projects efficiently and effectively.
Ability to show flexibility, tact, confidentiality, and a strong instinct for protocol and etiquette; project a positive image of MICDS.

OTHER INFORMATION

A criminal history and background check is required and must be successfully completed.
Generally, works in standard office conditions and climate.
May work at a desk and computer for extended periods of time.
Light physical activity. Work may involve occasional assistance of others in the manipulation of heavy objects and some standing or walking for extended periods of time.
Flexibility to include some evening and weekend work.
