Summary: Prepare reports and schedules for internal and external use. Assist in the preparation of year-end audit statements. Answer questions and resolve issues for internal and external customers.
Essential Duties and Responsibilities:
-Prepare financial reports to be reviewed by Accounting Manager and Accounting Director for use by management, Board of Commissioners and external auditors.
-Reconcile and analyze monthly and year-end balance sheet accounts and prepare year-end audit schedules including the investment financial statement disclosures.
-Prepare investment, shared cost, and in-kind donation journal entries and schedules.
-Review and verify exhibition shared cost coding and reports in conjunction with exhibition contracts.
-Prepare general journal entries and recurring journal entries each month.
-Review monthly house charges invoices from the food service provider for accuracy, coding, and department head approvals.
-Prepare monthly bank reconciliations for Commerce CPA account and PayPal account.
-Record receipts in the foreign currency cash box and reconcile its contents on a monthly basis.
-Set up new accounts payable vendors in the accounting software system utilizing IRS TIN verification. Ensure completeness of vendor records including minority business reporting, tax forms and affidavits.
-Maintain and update vendor records as changes occur in contact information, tax classification, addresses and forms.
-Complete the monthly vendor spend threshold report.
-Maintain capital asset ledger, tag all acquired capital assets, and propose journal entries to record disposals of capital assets.
-Assist with the annual art collection audit and reporting.
-Special projects and reporting as requested.
Qualifications: Bachelor’s degree in Accounting or Finance; minimum of 2 years’ experience in multi-departmental organization; or equivalent combination of education and experience. Strong mathematical and analytical skills; experience with budget practices; general ledger reporting and problem solving; and, advanced knowledge of Microsoft Excel. Job necessitates a high degree of accuracy and attention to detail. Experience with Blackbaud Financial Edge accounting software preferred.
Additional Details:
Hiring Range: $55,700 – $67,700; commensurate with experience. Paid hourly and based on a 37.5-hour work week.
Status: Full-Time; Competitive full benefits package is available on Day 1, including three weeks of vacation annually with one week available immediately, a museum-funded pension, museum-paid disability insurance, and a world-class wellness program.
Hybrid position with up to two (2) days per week working remotely once training is completed.
Selected candidates will be required to submit to a criminal background check, credit check and drug test before hire.
