Position Description: The Executive Assistant works independently to provide high-level administrative support for the President & CEO, including strategic calendar management, drafting correspondences, coordinating meetings, and acting as a liaison between the President & CEO and internal/external stakeholders.
The Executive Assistant must anticipate needs, plan effectively, be creative, detail-oriented and enjoy working within a fast-paced environment that is mission-driven, results-driven and community-oriented. The ideal individual is joyful, loves the work, and will have the ability to exercise good judgment in a variety of situations, with exceptional written and verbal communication, administrative and organizational skills, and the ability to maintain balance among multiple priorities. The Executive Assistant must have the ability to work under pressure, to handle a wide variety of activities and possess a high degree of optimism, integrity, and professionalism, and handle matters with discretion.
Primary Responsibilities: The following job duties are vital to successfully meeting the expectations of this position in an effective and efficient manner. This is not an exhaustive list and areas of focus may fluctuate between the primary and secondary responsibilities, as needed.
· Direct the fluid and busy calendar of the President & CEO, creating an optimal schedule and being able to strategically anticipate where shifting priorities may occur and adjusting, as needed.
· Engage in meeting preparation that includes proactive research, drafting email correspondence, and communicating with involved parties.
· Make judgements and recommendations to ensure smooth day-to-day engagements, including coordinating with Nine PBS executives, across teams, and with external stakeholders.
· Plan, coordinate and ensure the President & CEO’s schedule is followed and respected. Provide “gatekeeper” role, creating win-win situations for direct access to the President & CEO’s time and office.
· Communicate directly, and on behalf of the President and CEO, with Board members, donors, community partners, and others, on matters related to Executive office.
· Research, prioritize, and follow up on incoming issues and concerns addressed to the President & CEO, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
· Provide a bridge for smooth communication between the President & CEO and the Nine PBS Vice Presidents; demonstrating leadership to maintain credibility, trust and support with executive-level staff.
· Work closely and effectively with the President & CEO to keep them well informed of upcoming commitments and responsibilities and following up appropriately.
· Ensure notes are taken during meetings attended with the President & CEO that outline key takeaways and follow up action items.
· Provide leadership to build relationships crucial to the success of the organization and manage a variety of special projects for the President & CEO, some of which may have organizational impact.
· Successfully complete critical aspects of deliverables with a hands-on approach, including drafting personal correspondence, and other tasks that facilitate the President & CEO’s ability to effectively lead the organization.
· Prioritize conflicting needs, handle matters expeditiously, proactively, and follow-through on action items to successful completion, often with deadline pressures.
Secondary Responsibilities: These are additional activities that are expected to be performed with this position.
· Coordinate scheduling with other administrative support for Nine PBS executives.
· Represent Nine PBS with donors, members, partners, and the general public.
· Prepare and submit expense reports on behalf of the President & CEO.
· Receive, escort and/or introduce visitors to the President & CEO.
· Organize food for lunches, meetings, and other engagements.
· Coordinate research and special projects, as assigned.
Requirements and Qualifications: Bachelor’s degree required, with proven work experience supporting C-Level executives. Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and interest in learning how to use AI tools. Additional skills needed for success in this position include the following:

· Exceptional interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
· Expert level written and verbal communication skills.

· Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.

Hybrid Schedule: This position is built around the schedule of the President & CEO. Therefore, while a hybrid schedule is available, days available for working virtually will fluctuate from week to week depending on the President & CEO’s meetings and in-office work.
