Job Description: Data Management Coordinator

Job Overview:

The Data Management Coordinator plays a crucial role at Eye Thrive, focusing on optimizing program effectiveness and data integrity. This role requires expertise in managing and enhancing the Electronic Medical Records (EMR) System across all stages—design, implementation, review, and maintenance. Reporting to the Program Director, the Coordinator evaluates programs and implements data management solutions that support Eye Thrive’s mission. Success in this role requires strong organizational, analytical, and process-improvement skills, with the ability to meet deadlines and deliver impactful results.

Job Type:  

  • Permanent; Full Time; Exempt (40 hours/week).

Location: 

  • In-person position at Eye Thrive Headquarters, an open office at Delmar DivINe.
  • Some travel required to the Mobile Vision Clinic at various schools throughout Greater St. Louis.

Essential Duties and Responsibilities:

  • Program Analytics 60%
    • Verify, analyze, and report outcome data, including screenings, exams, glasses, replacements, and referrals.
    • Administer and analyze program evaluations from site partners and families, identifying trends and areas for improvement.
    • Research, develop, and apply best practices to improve database management, system performance, and reporting accuracy.
  • Electronic Medical Records System 20%
    • Oversee the EMR system, including data entry, troubleshooting, and ensuring optimal functionality.
    • Onboard, train, and provide ongoing education to staff on EMR use and best practices.
    • Partner with vendors to maintain and update the EMR system, ensuring HIPAA compliance.
    • Work in collaboration with Program Director to design and implement updated versions of EMR system.
  • Program Planning 5%
    • Lead program evaluations to identify process improvement opportunities.
    • Analyze data to spot trends and recommend changes to program processes.
    • Coordinate evaluation projects as needed.
  • Program Reporting 10%
    • Oversee the collection and reporting of weekly, monthly, quarterly, and annual program metrics.
    • Prepare reports for the board of directors, donors, management, and staff.
    • Assist in the development of presentations, fact sheets, and other informational materials.
  • Additional Responsibilities  5%
    • Assist the Development Director with volunteer data entry, ensuring accurate records and efficient data management.
    • Support and participate in special events.
    • Perform other duties as assigned by the Program Director and CEO.

Basic Qualifications:

  • Bachelor’s degree in Data Management, Public Health, or a related field.
  • Strong skills in data analysis, project management, and communication.
  • Proficiency in database management and EMR systems, with HIPAA knowledge preferred.
  • Ability to collaborate, manage multiple tasks, and meet deadlines.
  • Nonprofit experience is preferred.
  • Proficient skill level with Microsoft Office applications and Google Documents, Sheets, and Calendar.

Physical Demands:

  • Ability to sit for extended periods of the workday.
  • Ability to move up and down stairwells.
