Position Summary
The Accounts Payable & Payroll Specialist is responsible for ensuring the accurate and timely processing of all accounts payable transactions and payroll. This role will support the finance team in managing financial records, preparing payments, maintaining compliance with regulatory standards, and assisting with month-end and year-end closing processes.

The position is full time with a competitive hiring salary range of $50,673 – $59,540.

Essential Job Duties
Accounts Payable:
- Process and verify invoices, ensuring proper approval, coding, and payment in accordance with nonprofit policies.
- Prepare and process payments (checks, ACH, credit card) for vendors and contractors.
- Reconcile accounts payable aging reports and ensure timely payments to prevent delays or late fees.
- Maintain vendor records and update payment terms as necessary.
Assist with the preparation of annual 1099 forms for contractors and vendors. - Monitor and resolve any discrepancies or disputes with vendors.
Payroll Processing:
- Process payroll on a bi-weekly basis for all employees, ensuring compliance with applicable wage laws and organization policies.
- Calculate and verify employee hours, scheduled earnings, garnishments, and deductions for payroll.
- Oversee the payroll software provider’s processing of payroll-related taxes, including federal, state, and local withholdings, and ensure timely submission of payments to the appropriate tax authorities.
- Maintain accurate employee payroll records and ensure confidentiality.
- Respond to payroll-related inquiries from employees in a timely and professional manner.
General Financial Support:
- Assist with month-end and year-end close processes, including reconciliation of accounts payable and payroll-related accounts.
- Support the CFAO and/or Controller with audits by providing necessary documentation and reports related to accounts payable and payroll.
- Assist with financial reporting, ensuring that accounts payable and payroll transactions are recorded accurately in the general ledger.
- Ensure compliance with nonprofit accounting standards, internal policies, and federal and state tax regulations.
- Serve as a collaborative team member, working to advance the mission of Girl Scouts.
- Perform other duties as required and/or assigned.
Qualifications
- Bachelor’s degree in Finance, Accounting, a related field or equivalent experience is required.
- Three (3) years of experience in accounts payable, payroll, or accounting, preferably in a nonprofit or similar environment.
- Valid state driver’s license, proof of insurance, and a driving record that is acceptable to our insurance carrier.
Knowledge, Skills, and Abilities
- Knowledge of accounting principles and regulations, payroll processes, and accounts payable systems.
- Familiarity with nonprofit financial management, fund accounting, and compliance requirements.
- Proficient in Microsoft Office programs, integrated financial systems, and other general office equipment.
- Knowledge of payroll systems and tax regulations (federal, state, and local).
- Exceptional attention to detail and organizational skills.
- Ability to manage multiple tasks and meet deadlines.
- Strong communication skills and the ability to interact professionally with vendors, employees, and leadership.
- Discretion and confidentiality in handling sensitive financial information.
- Ability to work independently and as part of a collaborative team.
- Ability to work well in a fast-paced, dynamic organization.
Physical Demands
While performing the duties of this job, the employee:
Must be able to remain in a stationary position 75% of the time operating a computer, including navigating websites, software platforms, spreadsheets and both electronic and paper documents.
Constantly operates a computer and other office productivity machinery such as a calculator, copier, and computer printer.
Occasionally positions self to maintain files in file cabinets.
May need to move boxes weighing up to 25 pounds across office for various needs.
The ability to observe details at close range and at a distance.
Is required to drive/ operate an automobile.
Work Environment
Constantly works in an indoor professional office environment. Exposed to moderate noise levels.
