Donald Danforth Plant Science Center
The Donald Danforth Plant Science Center has an immediate opening for a highly organized and proactive Senior Administrative Assistant to support three senior leaders: Vice President of Finance; Vice President Public and Government Affairs; Director of Entrepreneurship/CEO of Danforth Technology Company. This is a Monday thru Friday, 40-hour work week hybrid position requiring the individual to be on-site at least three (3) days per week.
This role offers administrative support in a fast-paced, dynamic environment. Responsibilities include overseeing daily operations, managing correspondence, and assisting in various areas such as communication, project management, and document preparation.
Primary responsibilities include:
Executive Support: Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and making travel arrangements.
Personnel Support: Prepare new hire, termination, employee change and labor allocation personnel action forms (PAFs).
Project Support: Assist with the management and tracking of various projects, ensuring deadlines are met and deliverables are completed on time.
Document Preparation: Assist in the creation, editing & update, and formatting of presentations, ensuring they are clear, visually appealing, and aligned with organizational standards consistency across materials.
Communication Management: Coordinate and prioritize incoming requests, ensuring timely responses and facilitating communication between senior leadership, stakeholders, and team members via email, phone and text.
Meeting and Event Coordination: Efficiently organize and coordinate meetings by preparing detailed agendas, reserving appropriate meeting rooms, arranging catering services, taking comprehensive meeting notes, and ensuring timely follow-up on action items to drive progress and accountability.
General Administrative Duties: Efficiently manage day-to-day administrative tasks, including organizing files, processing expense reports, maintaining office organization, conducting research, coordinating both international and domestic travel arrangements, and providing comprehensive support to team members as needed to ensure smooth operations.
Knowledge, Skills, and Abilities:
- Solid computer knowledge with strong proficiency with MS Office Suite, PowerPoint, Word and Outlook is required. Experience with Adobe, Google Docs and Google calendar is preferred.
- Ability to be proactive with tasks assigned, and work both independently and collaboratively while demonstrating professionalism and respect.
Proven experience as an executive administrative assistant or in a similar role. - Strong writing and communication skills, with a talent for drafting informal content that capture and reflects the executive’s unique voice, tone, and style.
- Able to organize, manage multiple tasks, prioritize effectively, and maintain a high level of confidentiality.
- Strong interpersonal skills and the ability to build relationships with internal and external stakeholders.
- Problem-solving skills and the ability to work independently with minimal supervision.

Education Requirements:
- High School diploma with five (5) years of relevant experience
- Additional certifications in office management, project management, or administrative support are a plus.
