Job Title: Residential Property Administrator

Position Overview:
The Residential Property Administrator is responsible for Lutheran Development Group’s Rooted Property Management system and supports other organization administration needs. The Residential Property Administrator manages our online Appfolio system through which rental applications, tenant vetting, work orders, lease reports, and other property management responsibilities.  In addition to the Appfolio system, the Residential Property Administrator will oversee leasing and property maintenance staff.  The Residential Property Administrator will also assist in administration of some Lutheran Development Group operations that are supportive of the organization as a whole.

The candidate must be highly organized, detail-oriented, works independently, consistent in implementation of systems, and persistent. They must be capable of managing online technology, a clear communicator, disciplined in maintaining a system, and work collaboratively with the real estate development and construction team.

Meet the necessary physical demands of property management like ascending and descending stairs, walk and inspect the exterior of buildings in varying weather conditions

Responsibilities:
Under the supervision of the Director of Operations

Performs the administrative functions of Property Management ensuring a high level of professionalism in property issues, including timely response to and resolution of tenant requests or concerns, and proper documentation of these efforts
Provide full administrative support, including phone support, typing reports, filing and distribution of correspondence
Schedule and coordinate meetings/special events, as requested
Oversee lease administration and related occupancy certifications
Prepare and coordinate bid proposals, service contracts and approved invoices
Assist in bidding process with organization Project Managers
Prepare and code invoices for Director of Operations approval
Ensure prompt and accurate completion of contract and certificates of insurance information in contract administration software
Track, renew, and file contracts, insurance certificates, and other Property Management documents; maintain follow-up system for expirations and renewals
Monitor and maintain the property maintenance work order system and prepare monthly reports for Property Manager on status of tenant work orders
Maintain the property purchase order system
Promote and foster positive relationships with residents and track service calls as required
Assist with monthly and quarterly management reports as well as annual budget preparation
Process management and maintenance staff hours, tenant bill back invoices through accounting, expense reports, tenant notices, and coordination with attorney for evictions
Assist in organizational operations including but not limited to overseeing stocking the office, office cleanliness, office technology, and assisting in communications among other responsibilities
This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines
While performing the duties of this job, the employee may need to stand and walk for extended or continuous periods of time
Familiarity with nonprofit funding mechanisms, including grants and donor relations, is a plus.

Compensation:

Salary range of $55,000-65,000 based upon applicable experience
