The Part-Time Finance Manager (FM) is responsible for maintaining accurate financial records, managing bookkeeping tasks, and ensuring compliance with established financial policies. This role supports CPA oversight, donor contribution tracking, and financial reporting while ensuring seamless operations in accordance with board-approved procedures.
Key Responsibilities:
Accounting & Financial Management
● Process donor contributions and accounts receivable payments through various methods (check, credit card, e-transfer, stock transfer, money order, donor-advised fund, online, and cash).
● Accurately record donor contributions in the donor database.
● Collaborate with the Programming team to generate invoices using appropriate class and income codes in QuickBooks.
● Maintain and reconcile accounts receivable, issue reminders, and coordinate collections with the Program Director.
● Process bank deposits and manage credit card transactions, ensuring proper usage and receipt verification.
● Categorize and process accounts payable transactions via check, bank bill pay, or credit card.
● Prepare and review payroll data biweekly for CPA processing.
● Coordinate payments for adjunct staff with the Program Director.
● Work with CP’s accounting firm to reconcile bank statements, generate reports, and support audits and IRS filings, including 990 and 1099 preparation.
● Ensure compliance with state and federal filings, including business licenses, workers’ compensation audits, and nonprofit registration renewals.
● Maintain updated business, workers’ compensation, and liability insurance coverage.
Financial Reporting & Compliance
● Report financial policy concerns or opportunities to the CEO and Board of Directors (BOD).
● Act as the primary liaison for the CP Accounting Firm, Bank, and Investment Management Firm.
● Support budget preparation and financial forecasting with the CEO.
● Assist the Office Manager with donor tax letters and other financial correspondence.
● Provide timely responses to financial inquiries from CP staff and the BOD.
● Attend BOD and Finance Committee meetings to provide financial updates and insights.
