New City School is seeking a detail-oriented, tech-savvy, and collaborative Advancement & Database Manager to join our Advancement team. This position supports the school’s fundraising, alumni relations, and community engagement efforts, helping New City School build and sustain meaningful relationships with families, alumni, and friends.

Reporting to the Director of Advancement, this role combines database management, relationship-building, event support, and administrative coordination. KEY RESPONSIBILITIES

Database and Gift Management (60%)

  • Serve as primary administrator for Blackbaud Raiser’s Edge, ensuring accurate and timely data entry for gifts, pledges, and constituent records.
  • Maintain clean and organized donor and alumni records, including tracking engagement, giving history, and contact information.
  • Generate reports, queries, and mailing lists to support annual giving campaigns, appeals, and events.
  • Process gifts and pledges accurately, prepare acknowledgment letters, and ensure donor recognition is timely.
  • Assist with integration of Raiser’s Edge with event platforms, mobile bidding, and email marketing systems.
  • Maintain best practices for data hygiene and document operational procedures.

Alumni Relations and Engagement (15%)

  • Maintain and update alumni records in the database, tracking education, career updates, and engagement activities.
  • Assist in planning and executing alumni events, reunions, and networking opportunities.
  • Support alumni communications, including newsletters, email campaigns, and social media updates.

Fundraising and Event Support (15%)

  • Assist in planning and executing advancement events, including donor appreciation events, the annual auction, and community gatherings.
  • Track RSVPs, coordinate event logistics, prepare materials, and liaise with vendors and volunteers.
  • Support post-event follow-up, gift tracking, and acknowledgment processes.
  • Provide operational support for other fundraising campaigns and special projects as needed.

Administrative and Office Support (10%)

  • Maintain calendars, schedule meetings, prepare agendas, and document minutes for the Advancement team.
  • Assist with donor and alumni inquiries via phone, email, and in-person interactions, escalating to leadership as needed.
  • Contribute to the preparation of reports, presentations, and marketing materials.
  • Perform other duties as assigned to support the Advancement department and school initiatives.

QUALIFICATIONS

  • High school diploma required; associate’s or bachelor’s degree preferred.
  • Minimum of 2 years of administrative or development/fundraising experience in an independent school, nonprofit, or similar organization.
  • Experience with database management for desktop and cloud-based platforms, especially Blackbaud Raiser’s Edge NXT or similar software.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace; strong Excel skills required.
  • Experience with mobile bidding and event management software preferred.
  • Prior volunteer management and special event experience a plus.
  • Ability to work additional hours as needed, including morning/evening meetings and special events.
  • Occasional local travel for off-site meetings and office errands related to advancement operations.
  • Strong organizational skills, attention to detail, and ability to manage multiple projects simultaneously.
  • Excellent written and verbal communication skills; collaborative and team-oriented approach.
