Contract Term: November 2025 – March 2026 (event date February 20, 2026)
Compensation: Part Time Project-based ($3,500–$5,500 range, depending on experience and scope, negotiable)
Overview:
ShowMe Aquatics & Fitness is seeking a contract Fundraising Event Coordinator to help plan, organize, and execute our annual Trivia Night fundraiser. The event will take place on February 20, 2026, and serves as one of our key community-building and fundraising events.
The venue and event format are already secured, and a base of supporters is in place. The coordinator’s role is to ensure a well-run, successful event by managing logistics, volunteer coordination, marketing, and direct sponsor engagement to be expanded from an existing pool of leads.
Scope of Work:
- Coordinate all logistics for the event (venue, catering, AV, prizes, etc.)
- Manage sponsor outreach, including follow-up calls/emails and occasional new solicitations (in coordination with CEO)
- Track sponsorship commitments and benefits (logo placement, recognition, etc.)
- Develop event planning timeline, task lists, and run-of-show
- Oversee registration, ticket sales, and seating arrangements
- Support volunteer recruitment and coordination for event night
- Oversee marketing and communication timeline (social posts, email updates, sponsor thank-you)
- Collaborate with CEO on marketing collateral and creative elements (CEO provides design support)
- Provide a short post-event summary with results and recommendations.
Preferred Qualifications:
- Experience planning and coordinating nonprofit or community fundraising events
- Comfortable with sponsor outreach and light fundraising communications
- Excellent organizational and interpersonal skills
- Ability to manage multiple tasks independently
- Creative edge and understanding of event promotion
- Available for virtual check-ins and onsite presence on February 20, 2026
