Since our launch in March of 2021, more than 600 women have begun a journey with Rung. Many of them have completed coaching, and career training, and have achieved better employment opportunities and increased their income.

Position summary: The Administrative Assistant provides essential support to Rung’s Advancement Team—a group of nine passionate and dynamic professionals dedicated to driving our mission forward. If you thrive on organization, never miss a deadline, and enjoy collaborating with others, this role is for you.

How you’ll help Rung achieve our vision: You will play a critical role in keeping the Advancement Team organized and efficient by anticipating needs and managing administrative tasks that ensure the success of our efforts to advance the mission of Rung for Women.

What you will do:

  • Provide comprehensive administrative support to the Advancement Team, including:
    • Answering and directing calls; taking messages as needed
    • Responding to email, phone, and in-person inquiries
    • Managing timely data entry and donor correspondence for donations
  • Assist with implementation of Rung’s Communications Plan
  • Coordinate merchandise and promotional orders; track inventory
  • Support event logistics, including room reservations, setup, and staffing
  • Lead vendor communication, logistics, registration, and budget tracking for major events (e.g., Homecoming, Drag Me to Brunch, Career Fairs, alumni-development events)
  • Organize, schedule, and record minutes for collaborative meetings
  • Maintain the Advancement Team calendar
  • Perform general office tasks: filing, copying, scanning, and maintaining systems
  • Assist with budget oversight and tracking for the Advancement Team
  • Plan and coordinate staff recognition events, team outings, and milestone celebrations
  • Provide regular updates to the Chief Advancement Officer on emerging and ongoing issues
  • Schedule appointments and manage administrative tasks for the Chief Advancement Officer
  • Collect and organize content for external newsletters (alumni, Ladder League, recruitment, employers)
  • Perform minor website updates and maintenance
  • Track grant calendar and help gather information for funder deadlines and reports
  • Update EOS Team Scorecard
  • Gather and track information for bi-monthly Board reports
  • Maintain office supply inventory
  • Provide occasional front desk coverage during breaks and meal periods

  • Advanced proficiency in Microsoft Office Suite
  • Experience with graphic design tools (e.g., Canva) for creating flyers, presentations, and visual content
  • Ability to adapt and pivot between diverse tasks
