Administrative Office Coordinator – Job Description

Summary:

The Administrative Office Coordinator requires competencies such as the ability to carry out projects involving other departments and sites, communicating efficiently amongst various stakeholders, coordinating information gathering for reports and special projects, and the ability to support a higher-level director.

Reports to: Executive Director

Salary: $52,000

Tasks and Activities
•        Office Support: Contribute to ensuring the smooth and efficient operation of the office and the proper and timely completion of projects and activities.  Performs a full range of specialized administrative support functions. Provide outreach to colleges, universities, and community partners.  Maintain a variety of documents, files, and records. Schedule appointments, manage calendars, organize meetings and outreach opportunities. Order office supplies and promotional items. Maintain inventory. Receives and screens office visitors and telephone callers and refers to other individuals as appropriate. Make travel arrangements and manage travel expenses

•        Program Support: Support Fund programs – including the Teacher Assistance Program, Professional Development, Traditional Scholarships, and Special Grants – by screening and verifying client eligibility, assisting clients, maintaining program documentation, and handling information requests.

•        Fund Information Systems: Maintain and optimize Fund databases, ensuring the accuracy, completeness, and reliability of automated systems.

•        Financial: Process invoices, set up vendors, and manage disbursements while maintaining segregation of duties and implementing internal controls to ensure audit readiness.  Assist with annual audits and provide supporting documentation.

•        Board and committee meeting support: Coordinate Board and Committee meetings including preparing and distributing  materials, ordering meals, taking minutes, and conducting appropriate follow-up.  Draft communications such as memos, emails, letters, reports and other correspondence for consideration and presentation by Fund administrators.

Education, Certification, and Training

•        Associate or bachelor’s degree in business or related field preferred.

Physical Requirements
•        Must be able to operate a motor vehicle

•        Must be able to lift, carry, push or pull or otherwise move objects up to 10 pounds

•        Light work usually requires walking or standing to a significant degree
