Position
Reporting to the U.S. Program Leader the US Sponsorship Assistant will be responsible for assisting the leader as they oversee Hearts & Hope’s programs in Uganda.  This position will be work closely with the Hearts & Hope team in Uganda to assist in the management of the sponsorship program in Uganda, as well as ensuring we are delivering the maximum impact and benefit to those we serve.

Goals
Increase the impact Hearts & Hope has on the lives of those we serve in Uganda, ensuring that we are delivering on our vision and mission, and staying aligned with our areas of focus and organizational strategies.

  1. Execute and implement sponsorship programs, guidelines, and processes
  2. Develop productive working relationships with Uganda Operations staff, U.S. Partners, Sponsors, and Hearts & Hope team members to deliver optimal execution and impact

Responsibilities – Sponsorship Programs

  • Coordination with Sponsorship Coordinators in Uganda on sponsor student selection
  • Coordinate sponsorship program communication and engagement
  • Coordinate sponsorship packet standards, collection, & delivery with support from Volunteer Coordinator
  • At direction of Program Leader, coordinate with Sponsorship Coordinators in Uganda on purchase and delivery of sponsor uniforms and other scholastic supplies in Uganda
  • Track and report sponsorship roster changes, trends, etc.
  • Track sponsorship student enrollment status and compliance with program guidelines and policies
  • Take action and escalate at-risk or absentee students and work with Sponsorship Coordinators to bring to resolution
  • Update and maintain Sponsorship Database platform with content received from Sponsorship Coordinators
  • Export/Transform/Import data from Sponsorship Database platform for mass updates
  • Communicate to Sponsors regarding updates on their student, resolution of delinquent sponsorship payments, etc.
  • Audit Sponsor and Student records across platforms to ensure they are accurate and in sync
  • Tasks related to program-specific communication to Sponsors (e.g. mailings, welcome packets, etc.)
  • Support Sponsorship drives to increase student sponsorships aligned with our mission in Uganda
  • Ensure sufficient inventory of sponsorship collateral & materials for sponsorship drives and coordinate with Marketing Lead to replenish
  • Ensure sufficient inventory of materials for packet supplies

Qualifications
All candidates should have communication, team work, and multi-tasking skills.

Demonstrable experience and other qualifications include:

  • College degree or related experience preferred, with emphasis in non-profit management or business/finance
  • Experience problem solving, and successfully delivering results with limited resources or short time lines
  • Experience working in a non-profit or small team environment

  • Computer proficiency – Expert in Microsoft Office, Google Mail, Googe Drive, etc.
  • Experience with ETL – Ability to analyze, compare, audit, and Export/Transform/Load data sets from Microsoft Excel to student sponsorship databases/platforms
  • Action-oriented, adaptable, and innovative approach to problem solving
  • Strong written and verbal communication skills – a persuasive and passionate communicator with excellent interpersonal skills
  • Experience with online database platforms (used in Sponsorship management) – Podio, SmartSheets, AirTable, other, etc.

Compensation & General Expectations
This position is being offered as part-time position, 20 to 30 hours per week, with Hearts & Hope at $18 to $20/hour.  Opportunity to expand to a full-time, salaried position.

The position will require working in the Hearts & Hope office up to 3 days a week with flexibility to work from home with approval from the Program Leader or Executive Director.  Office hours each day are flexible, but should be in the office during core hours as defined by the team.  May be required in the evenings associated with partner or other company meetings, to be planned/schedule well in advance.
