The St. Louis College Readiness Initiatives team at Washington University in St. Louis is seeking an Administrative Coordinator. This part-time, benefits eligible position coordinates a variety of routine and complex administrative support functions for Washington University’s St. Louis college readiness initiatives, including both the Washington University College Advising Corps (CAC) and the Washington University College Prep Program (CPP).

The College Advising Corps is an evidence-based, data-driven, high-impact program that seeks to increase the number of low-income, first-generation, and underrepresented high school students in the St. Louis area who are pursuing higher education. The program is part of a national movement, and sends talented, enthusiastic recent Washington University graduates to serve as full-time college advisers in local St. Louis area high schools where they help principals, counselors, and teachers foster a college-going culture and provide students with tools and resources to navigate the college-going process.

The College Prep Program is an immersive, on-campus learning experience at Washington University. Incoming scholars live on campus for two weeks the summer following freshman year and for three weeks the summers following sophomore and junior year. College Prep scholars also attend workshops, lectures, and campus activities throughout the school year. Graduates of the program leave ready to excel — academically and socially — in college. The goal of the Washington University College Prep Program is to prepare scholars for success at a selective college or university that best matches their interest and needs.

PRIMARY DUTIES & RESPONSIBILITIES:

  • Engage in regular and timely communication with various College Advising Corps and College Prep Program constituents (e.g. students, guardians, school officials, community members, program staff).
  • Coordinate and facilitate regular electronic and paper mailings to constituents.
  • Coordinate the College Prep Program application and re-enrollment processes.
  • Support the recruitment and onboarding of the College Advising Corps and College Prep Program hires, including but not limited to, working with the Washington University Shared Business Services Hub and the Office of Human Resources.
  • Oversee the College Prep Program’s compliance with the Washington University policy on minors on campus and the College Advising Corps background and fingerprinting checks.
  • Coordinate college readiness administrative details, such as space reservations, field trips, catering orders, and meetings for the college readiness leadership team.
  • Assist in the development of college readiness printed and electronic materials.
  • Coordinate the execution of College Advising Corps Memorandums of Agreement with local school districts and the National CAC office.
  • Manage the College Advising Corps and College Prep Program websites.
  • Provide support for the management of College Advising Corps data tracking and compliance with other requests from the CAC National Office.
  • Manage the College Prep Program student data and tracking systems.
  • Process the College Advising Corps and College Prep Program budget requests and adjustments.
  • Manage the human resources/payroll processes for both College Advising Corps and College Prep Program.
  • Help maintain an accurate record of AmeriCorps services hours for College Advising Corps advisers.
  • Perform other duties as assigned by supervisor.

Required Qualifications

  • High school diploma.
  • Two to three years of experience coordinating office administrative details.
  • Ability to work up to 30 hours per week, with some evening and weekend hours.

Preferred Qualifications

  • Bachelor’s degree.
  • Demonstrated competency with office computing tools; including, but not limited to Word, Excel, mail merging and/or data tracking systems.
  • Experience with basic office accounting and human resource systems.
  • Experience working with high school students and families.
