Job Title:        Data and Compliance Coordinator

Reports to:      Director of Operations

Status:           Full-time, Exempt

The Data and Compliance Coordinator is committed to the 90-year history of providing exceptional youth development programs and will support Gene Slay’s Girls & Boys Club (GSGBC) mission to empower girls and boys in the St. Louis metropolitan area, especially those who need us most, to realize their physical, intellectual, and emotional potential.

The Data and Compliance Coordinator will contribute to an outcomes-driven and trauma-informed culture in a variety of ways, including making recommendations to streamline and improve existing data management systems. This position will be responsible for all stages of program data collection, including but not limited to enrollment, client satisfaction surveys, staff observation and monitoring, data entry, and outcome data collection. This position will also manage and optimize GSGBC’s use of youth development database, KidTrax, and provide ownership of the more than 680 active files in the database.

In their compliance role, this position will work in conjunction with Program Managers and Business Manager and be responsible for overseeing contract compliance; including reporting on program implementation, contract requirements, fiscal compliance, and timely communication, as well as fiscal and programmatic reporting requirements to all funders. They will be familiar with all agency grant contracts. They will support the Director of Programs and Director of Operations to ensure that programs are achieving stated outcomes and measurements as spelled out in each contract.

Key Roles and Responsibilities

Data Management

·       Review member enrollment forms for completion, including required attachments

·       Coordinate with Front Desk staff to maintain system of collecting member applications

·       Responsible for tracking and completing all incomplete enrollment forms, including follow-up with   parent(s)/guardian(s)

·       Responsible for data entry of all member enrollment forms into KidTrax database

·       Review data for inconsistencies or irregularities that could skew analytical results

·       Streamline data collection and analysis procedures to ensure fast access to metrics

·       Generate accurate and usable membership, household, demographic, and outcome reports

·       Responsible for inputting and managing all outcome data provided by each program area in a concise manner to support compliance efforts and program quality

·       Maintain database and conduct routine maintenance/internal audits as needed to ensure data integrity

·       Make recommendations for software, hardware and data storage upgrades

·       Maintain accurate and secure hard copies of member enrollment forms

·       Support a culture of outcomes-driven programming in a trauma-informed environment

Compliance Management

·       Achieve and maintain clear understanding of all program and financial requirements and regulations attached to each contract

·       Responsible for contract-related program and financial reports, tracking, and requirements – including due dates

·       Responsible for preparing funder required reports and presentation to management for approval, prior to due date

·       Responsible for tracking contract outcomes and financials on a quarterly basis and reporting back to management to support full contract compliance for GSGBC

·       Responsible for tracking impact of each contract on funding needs of the agency

·       Manage and communicate current and projected gaps in funding

·       Ensure that GSGBC is not overlapping any contract

·       Notify Director of Operations with any recommended contract budget adjustments

Requirements

·       Passion for Gene Slay’s Girls & Boys Club of St. Louis’ mission and ability to articulate its philosophy, values, and practices to internal and external stakeholders

·       Bachelor’s Degree in Social Work, Business, Finance, or related field preferred

·       Three-five years administrative experience, preferably in a non-profit setting

·       Exceptional computer & Microsoft Office Suite skills

·       Excellent written and verbal communications skills; writes clearly and informatively, varies writing style to meet the need of the project

·       Proficient research skills; collects and researches data and applies to work performed

·       Ability to work independently in a fast-paced environment

·       Works collaboratively with other staff and management

·       Ability to adjust to the diverse needs of members and staff

·       Occasional evenings and weekends may be required with advanced notice

·       Ability to work in a diverse environment with a high level of cultural competency

·       Effective time management with ability to prioritize

·       Understanding of and/or willingness to commit to the values of the Sanctuary Model of Trauma-Informed Care
