Curatorial Senior Administrative Assistant

Summary: Provide administrative support to the Assistant Director of Curatorial Affairs and Museum Programs. Critical job functions include managing and maintaining the Assistant Director’s schedule, planning and scheduling internal and external meetings, conference calls and daily administrative tasks.

Essential Duties and Responsibilities:

  • Provide administrative and secretarial support to the Assistant Director for Curatorial Affairs & Museum Programs.
  • Overall office management and administrative support.
  • Manage calendar, screen and route calls, process incoming and outgoing mail.
  • Travel planning and reporting.
  • Reservations for meetings (internal and external), seminars, and conferences. Preparation of agenda, PowerPoint presentations, and minutes.
  • Draft and edit correspondence, reports and other documents as requested.
  • Coordinate with division staff for timely attention/deadlines/action on projects/proposals.
  • Maintain up-to-date divisional budgets including information and reports.
  • Prepare and process electronic purchase order requests.
  • Assist the Assistant Director and other divisional staff members with special projects as needed and appropriate.
  • Coordinate with division administrative support staff to ensure consistent, timely and organized operation of the division and assist as needed in times of absence.

Qualifications:

  • High school diploma required; post-secondary education or business school preferred.
  • Minimum 3 years administrative experience.
  • High level of proficiency in the use of Microsoft Office suite.
  • Demonstrated ability to communicate effectively and professionally both orally and in writing.
  • Must have a pleasant and professional phone manner, demonstrate confidence and ease with verbal communication and consistently demonstrate the ability to interact graciously with the Museum’s staff, Board members and the public.
  • Must be extremely organized and have the ability to handle changing priorities, and to meet challenging deadlines.

Additional Details:

Minimum of Range: $19.16/hour

Status: Regular full-time (37.5 hours/week)
