POSITION SUMMARY

The Program Coordinator is responsible for creating an overall exceptional experience for people attending events and programs in the Cortex Commons and other events at Cortex.

The Program Coordinator is a full-time, salaried position with benefits that is responsible for day-to-day oversight and management of the 3-acre Cortex Commons outdoor space, as well as supporting several major events managed by the Cortex district. The Program Coordinator will work closely with Cortex staff, district partners, and leadership in the entrepreneurship community to ensure a high quality experience for tenants and visitors to the Cortex Innovation Community. Interested jobseekers should be able to demonstrate strong project management skills, organization, interpersonal skills, independent initiative and attention to detail.

CORTEX INNOVATION COMMUNITY

ORGANIZATIONAL RELATIONSHIPS

Reports to: Vice President of Partnerships and Program Development

Supervises: Contractors, service providers, vendors and volunteers

Collaborates with: All Cortex staff, partner organizations and event advisory boards

RESPONSIBILITIES

  • Program and maintain mission-centric social and cultural programs, activities and amenities within Cortex Commons.
  • Serve as the primary point of contact for individuals, companies and organizations seeking to hold events at the Cortex Commons.
  • Develop marketing/PR strategy to ensure strong event participation, community awareness and engagement.
  • Manage the event onboarding, vendor coordination and execution process.
  • Identify potential funding sponsors for programs and amenities.
  • Identify potential collaborative partnerships within the St. Louis community to assist in the activation of Cortex Commons.
  • Create and maintain an annual budget and calendar of activities for programming and activation.
  • Track metrics (i.e. attendance, quality, value) and submit a quarterly report with surveyed feedback.
  • Support programming of two major events: STL Startup Week (startupconnection.org and stlouisstartupweek.com) and InvestMidwest (investmidwestforum.com); support additional smaller events.
  • For each event, support Program Manager in the planning and execution of events.
  • Develop graphics or work with outside contractors to develop graphics.
  • Update event websites, reservation platforms and other event technologies.
  • Develop and implement social media strategies.
  • Research and evaluate tools to improve the event experience.
  • Coordinate with operators of other event spaces within the district.
  • Coordinate with property management of spaces surrounding the Cortex Commons to ensure seamless operation.
  • Coordinate with property management to ensure upkeep of high quality spaces and minimal disruption to events.
  • Coordinate with Vice President of Partnerships and Program Development and CFO on expenditures and budgeting.
  • Participate in Anti-Bias/Anti-Racism Training.
  • Other duties as may be assigned by the Vice President of Partnerships and Program Development.

SKILLS, ABILITIES AND ATTITUDE

  • Excellent written and oral communication skills to interact within the organization, with clients, with partner organizations, with external professionals and other stakeholders;
  • Ability to work independently, along with a strong ability to work with teams;
  • Ability to prepare and maintain project budgets;
  • Ability to communicate scope of work to vendors and negotiate contracts;
  • The confidence to represent Cortex, Cortex Commons and other events in public forums and private meetings;
  • Ability to contribute to the development of overall strategy and planning, in addition to having a strong focus on details;
  • Ability to balance customer service skills with requirements to host events on the Cortex Commons;
  • A temperament for rolling-up your sleeves and doing what it takes to get the job done;
  • Ability to jump in and address a problem;
  • Working knowledge of MS Office required; experience with graphics programs and/or social media preferred;
  • An interest in the health and/or startup community;
  • A passion for an impactful mission; and
  • The ability to maintain a sense of humor at all times.

POSITION QUALIFICATIONS

  • Three to five years of progressively responsible conference or event program management experience; Associate’s degree or greater preferred.
