Since 1963, the Arts and Education Council has raised and distributed more than $108 million; annually funding over 70 arts and arts education organizations, solely through private contributions from individuals, corporations, foundations and workplace giving campaigns. The Arts and Education Council provides below-market office space, state-of-the-art technology, rehearsal and performance space for twenty (21) nonprofit arts organizations in the Centene Center for Arts and Education, an arts incubator located in the Grand Center cultural district. JOB SUMMARY

The Development Coordinator provides proactive, effective and measurable administrative support to enhance the development department fundraising activities. This position requires the ability to work well within a fast-paced environment and a collaborative team structure. The role of the Development Coordinator is to manage the flow of donor information and communications in support of achieving organizational financial goals. The Development Coordinator maintains up-to-date donor information, generate donor communications and track donor information in the database to achieve organizational fundraising goals. Key areas of responsibility and accountability include, but are not limited to:

DEVELOPMENT DEPARTMENT SUPPORT

  • In keeping with policy and procedure, update and maintain donor database to ensure accurate recording, data entry, tracking and reporting of all contributions, produce donor acknowledgement letters and communicate with donors in a friendly and helpful manner by phone and email
  • Create daily batches for gifts, pledges and payments received according to policy and procedure; adheres to division of duties as required by the organization and its auditors
  • Keep database donor information up to-date (deletions, change of address, deduping, relationships, corporate titles)
  • Draft written materials for development department, including solicitation and acknowledgement letters, and ongoing stewardship communication for donors
  • Generate, print and mail all donor thank you letters and postcards in a timely manner and in keeping with donor acknowledgment policies and procedures
  • Generate, print and mail all donor renewals, reminders and lapsed mailings
  • Make thank you calls to donors on a regular basis
  • Manage credit card, check and cash donations and payments according to gift processing policies and procedures
  • Confirm and process matching gift pledges and payments
  • Initiate calls and schedules meetings for Development team including Director of Development and President, as requested
  • Reply to donor requests by phone, email, mail and in person
  • Conduct prospect research as requested
  • Collect and respond to RSVPs for cultivation, solicitation and workplace giving campaign events – including A&E’s largest fundraising event, the St. Louis Arts Awards. Maintain RSVP lists for all events and the St. Louis Arts Awards
  • Provide assistance to development team members which can include, but is not limited to: packaging campaign kits, creating online campaign sites, and generating queries and reports for the Director of Development, Campaign and Event Manager, and/or President
  • Assistance with grant writing, outcomes reporting and budget documentation
  • Responsible for filing of donor communications and gift records on a weekly or more frequent basis
  • Maintains donor files and archives files of deceased and severely lapsed donors as needed

GENERAL ADMINISTRATION

  • Manage online postage system for all outgoing mail
  • Manage inventory of donor communication materials including envelopes, letterhead, and other print pieces
  • Work closely with Development and Database Manager and accounting personnel to ensure gift records and accounting records reconcile on a monthly basis – or more frequently as requested or required
  • Assist Operations Support with the creation of binders and room set-up for board and committee meetings
  • Attend Development Committee meetings and take minutes as requested
  • Open, date, stamp and distribute daily mail as required
  • Answer general phone line and greet guests and vendors of the Arts and Education Council as needed or required
  • Be cross trained in other areas of development including online giving page creation, data entry and other tasks
  • Represent the Arts and Education Council at workplace giving and other events in the community in a professional manner
  • Other duties as assigned

TECHNICAL AND EDUCATION QUALIFICATIONS:

  • Bachelor’s Degree desirable or equivalent work experience
  • Two (2) or more years’ experience with DonorPerfect software or comparable database software; proficiency and experience with Raiser’s Edge a plus
  • Experience in donor database management and reporting a plus
  • Ability to think strategically about how to use the database as an effective tool in fundraising activities
  • Proficiency in Microsoft Office Suite including Microsoft Word, PowerPoint, and Excel

PHYSICAL DEMANDS:

  • Ability to make frequent telephone calls and routine in-person visits to donors and
  • Ability to utilize computer keyboard (typing) and sit for extended periods of time.
  • Must be able to lift and carry 20 pounds when transporting supplies and assisting development team;
  • Hands-on participation with event set-up is required. Ability to reach, stoop, grasp, grab,
  • May be required to perform tasks at varying heights (i.e., step ladders, stools, stairs, ).
  • Ability to standing for long periods of time; 25% or more of the workday may be spent standing on
  • Ability to drive and maintain a valid driver’s license
