Office Manager/Executive Assistant
Grand Center Inc. (GCI) is a nonprofit organization that creates the conditions for a thriving creative community in the Grand Center Arts District, located in Midtown St. Louis. GCI focuses on community connections, District improvements, and the long-term sustainability of the District and our organization.
Our work includes infrastructure improvements, security coordination, activation of public spaces, district tours, collaborative marketing, economic development, and convening partners to advance district-wide initiatives.
Position Summary
The Office Manager/Executive Assistant ensures the smooth day-to-day operation of Grand Center Inc.’s office and provides administrative and executive support to leadership. This role manages internal administrative systems, coordinates Board and committee activities, and supports operational functions related to the Grand Center Community Improvement District (CID).
This is a full-time position reporting to the COO/CFO of Grand Center Inc.
Salary Range: $50,000 – $60,000 annually, commensurate with experience.
Key Responsibilities
Executive & Administrative Support
- Provide administrative and scheduling support to the President/CEO and COO/CFO.
- Coordinate office calendars, meetings, and internal communications.
- Greet visitors, answer incoming calls, and connect inquiries to appropriate resources.
- Process incoming mail, checks, invoices, and donations and maintain organized electronic records.
- Maintain office filing systems, supply inventory, and administrative processes.
- Provide general administrative support to staff to ensure efficient office operations.
Board and Committee Coordination
- Coordinate Board and committee meetings, including scheduling, agendas, and meeting materials.
- Maintain Board records, minutes, and contact lists.
- Prepare meeting logistics including materials, technology setup, and room arrangements.
- Assist with onboarding new Board members and organizing orientations.
Office Operations
- Maintain organization and functionality of shared office spaces.
- Serve as primary contact for office vendors and building services.
- Coordinate routine building maintenance, inspections, and facilities-related projects.
- Track vendor contracts, insurance certificates, and service renewals.
- Serve as contact for second-floor tenant(s).
District Operations/CID Support
- Assist with administrative coordination of the Grand Center Community Improvement District (CID).
- Organize CID committee meetings and maintain meeting documentation.
- Manage vendor coordination and reporting for CID activities.
- Assist with monitoring District conditions, including lighting, signage, and public space maintenance.
Qualifications
- Bachelor’s degree preferred.
- At least 2 years of administrative, office management, or executive assistant experience.
- Proficiency in Microsoft Office Suite.
- Strong organizational and project management skills.
- Excellent written and verbal communication abilities.
- Ability to work collaboratively with staff, Board members, and external partners.
