Flooring Industry Council of Greater St. Louis

Position Overview
The Flooring Industry Council (FIC) is seeking a highly organized, detail-oriented independent contractor to oversee the administration, financial management, event coordination, communications, and operational support of the organization and its affiliated foundation, the Flooring Industry Advancement Foundation (FIAF).

This position serves as the primary administrative contact for FIC members, board members, committees, vendors, and event participants. The contractor will be responsible for coordinating multiple annual events, maintaining financial records, supporting board and committee activities, managing member communications, and ensuring the successful execution of programs that support the flooring industry.

The ideal candidate will possess strong event planning, project management, communication, bookkeeping, and organizational skills and be comfortable working independently while collaborating closely with volunteer leadership.

Key Responsibilities

Event Management & Coordination
Manage planning, logistics, registration, marketing, vendor coordination, and financial reconciliation for annual FIC events, including:

·       Holiday Party

·       Mini-Market Industry Exhibitor Show

·       Charity Golf Tournament

·       Annual Meeting & Member Social

·       Educational Seminars and Webinars

Responsibilities include:

·       Negotiating and securing venues and vendor contracts

·       Developing event budgets and pricing structures

·       Creating marketing and registration materials

·       Managing registrations, invoicing, and payment collection

·       Coordinating food and beverage services

·       Managing event setup, onsite logistics, and volunteer coordination

·       Reconciling event finances and preparing post-event reports

·       Conducting attendee and exhibitor surveys when applicable

Foundation Administration (FIAF)
Support the Flooring Industry Advancement Foundation by:

·       Coordinating annual meetings and conference calls

·       Preparing agendas, budgets, and financial reports

·       Recording meeting minutes and action items

·       Assisting board leadership with annual budget development

·       Maintaining foundation records and communications

Public Relations & Marketing
·       Coordinate annual public relations initiatives and committee activities

·       Manage vendor relationships and contracts

·       Assist with content creation and project implementation

·       Coordinate video, photography, and promotional campaigns

·       Maintain website content and updates

·       Collaborate with PR vendors to track campaign performance

·       Manage social media and member communications

Training & Industry Partnership Programs
Administer apprenticeship support initiatives by:

·       Coordinating voucher distribution and redemption processes

·       Tracking program participation and funding utilization

·       Managing reimbursements and reporting requirements

·       Serving as liaison between training partners and program sponsors

Membership & Database Management
·       Maintain member and contractor databases

·       Update contractor and associate member listings

·       Monitor membership status and delinquent accounts

·       Provide customer service to members and consumers seeking contractor information

·       Assist with website updates and membership-related communications

Accounting & Financial Administration
·       Record and reconcile income and expenses

·       Manage accounts receivable and accounts payable

·       Process event registrations and membership dues

·       Prepare monthly financial reports, including Profit & Loss and Balance Sheet statements

·       Coordinate year-end reporting with the organization’s CPA

·       Prepare and distribute 1099 forms as required

·       Maintain banking relationships and investment account communications

·       Manage vendor records and annual W-9 collection

Board & Committee Support
·       Coordinate quarterly board meetings

·       Prepare agendas, financial reports, and meeting materials

·       Record and distribute meeting minutes

·       Track and execute follow-up action items

·       Support committee recruitment and communications

·       Coordinate committee meetings and conference calls as needed

General Administration
·       Manage member communications and correspondence

·       Maintain organizational records and archives

·       Order office and printed materials as needed

·       Coordinate special projects assigned by the Board of Directors

·       Perform other administrative duties necessary to support the mission of the Flooring Industry Council.

This position must have experience working independently. A bachelor’s degree/ industry experience is required.
