Job Title: Administrative Coordinator

Immediate Supervisor: Director of Human Resources

General Description/Position Summary:

This is an exciting opportunity for a motivated, detail-oriented self-starter who thrives in a fast-paced environment and is eager to support the Foodbank’s mission to fight hunger and promote food security across the region. As the Administrative Coordinator, you’ll be the first point of contact for visitors, volunteers, and partners – setting the tone for a welcoming and professional environment. In this position, you’ll manage key office functions, provide high-level administrative support to the Foodbank’s Executive Leadership Team (ELT), and ensure smooth daily office operations. Responsibilities include greeting guests to the Foodbank and overseeing front desk reception, managing communications (phone and email), maintaining office supplies, overseeing mail, coordinating meetings, and supporting a positive and productive work environment.

Duties and Responsibilities:

  • Manage the reception/main entrance/visitor lobby area by greeting all visitors in a warm and professional manner.
  • Provide exceptional customer service by professionally handling phone and email inquiries, directing them to the appropriate Foodbank staff, partner agencies, or other service providers.
  • Monitor and respond to the Foodbank’s general email inbox, forwarding inquiries to the appropriate staff as necessary.
  • Process incoming and outgoing mail and packages efficiently, ensuring timely distribution to the appropriate staff or department.
  • Partner with the Human Resources Department to coordinate new employee welcome gifts.
  • Support the administration of the Foodbank’s Employee Recognition Program.
  • Provide support to all three sub-committees of the Foodbank’s
  • Employee Experience Committee: Employee Engagement Sub-Committee, Social Responsibility Sub-Committee, and the Health & Wellness Sub-Committee.
  • Help prepare for quarterly Foodbank Board of Director meetings.
  • Provide meeting coordination support to staff as needed.
  • Manage office supply orders, monitor supply inventory, and maintain an organized supply closet.
  • Provide administrative support to the Executive Leadership Team (ELT), including but not limited to:
    • Scheduling meetings, coordinating lunches, and event logistics.
    • Handling data entry, filing, copying, and organizing documents.
  • Perform other duties as assigned.

Qualifications:

  • High school diploma required; some college coursework or degree preferred.
  • Prior administrative support and/or front desk reception experience required.
  • Ability to manage multiple projects, handle interruptions, maintain focus on tasks and produce accurate work.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to establish and maintain effective working relationships with diverse internal and external stakeholders.
  • Ability to work independently and as part of a team.
  • Passion for the Foodbank’s mission and the ability to demonstrate SLAFB’s Core Values (Stewardship, Teamwork, Agility, and Respect).
  • Prior non-profit experience preferred.
  • Proficiency with Microsoft Office applications and other web-based applications preferred.
  • Must pass drug screening and criminal background check.

Work Schedule:

Monday – Friday, 40 hours per week, onsite at the Foodbank facility and on occasion, in the community as needed.
