The Asthma and Allergy Foundation of America

Reports to: Executive Director

Classification: Non-exempt, Hourly, $20 – $25/per hour commensurate with skillset and experience

Position Summary: The organization is about to undergo record growth and needs an organized passionate person to help manage that growth. This teammate makes sure office responsibilities are met so children with asthma and food allergies get the support they need, when they need it.  The position is part time with the intention of moving to a “Full” time position as organization grows in 2022 and 2023, Monday-Friday, approximately 20-25 hours per week (negotiable). Scheduling is negotiable and very flexible as well with some remote working opportunity, primarily within our core hours of 8-5:30, but will occasionally require nights and weekends to support events. Benefits will be available depending once position moves to full time.

Duties:

·         Coordinate and facilitate senior staff schedules and responsibilities

·         Manages all standard office procedures

·         Execute special projects as need arises

·         Coordinates and executes Board of Director events and communications

·         Welcome guests in person and on the phone

·         Maintain database entry and ensure donor information is up-to-date at all times

·         Generate letters for donors and clients, making sure all correspondence are timely, accurate, thoughtful and recorded in our CRM

·         Maintain organizational supplies and equipment

·         Facilitate proper coding of expenses and revenue

·         Assist in fundraising by generating letters, placing follow up calls, and helping connect people to AAFA-STL’s mission

·         Provide support before, during, and after events

·         Recruit and coordinate revolving teams of interns

·         Support and anticipate the staff administrative needs and perform all other duties as requested

·         Run a best in class office with ownership over completion and success

Experience and Qualifications:

·         Ability to think critically and set up processes to increase efficiency and accuracy

·         Excellent writing ability

·         Pleasant, professional demeanor

·         Proficient information technology skills, including proficiency in office systems and software including, Microsoft Office Suite, CRM/donor database applications e.g. “Bloomerang” WordPress, Facebook, Twitter, Google Suite

·         Knowledge of zoom, Canva and other software applications preferred

·         Prior experience working with nonprofits or as an office volunteer

·         Prior experience in an administrative role in a fast moving corporate or nonprofit, supporting senior staff and organizational goals

·         Desire to make a difference in the community and help grow programs and impact as a critical member of the team

The Person

Our next team member has a desire to execute responsibilities with excellence and is a self-starter, able to identify needs of the organization and team. They will be able and excited to see projects through from start to finish with genuine ownership and the ability to think critically. This person takes pride in and owns success for their own projects and the overall success of the office efficiency. They understand their role as being vital to the organization’s overall success.

The Position

This position could be filled successfully by many types of people but may be well suited for an experienced Executive Assistant or Office Manager from a corporate role, who still wants to contribute to the workforce and to a great cause, but does not currently seek full-time employment. The position may allow for growth within the role or into another position as time and proven success allows. So alternatively, a person seeking to build experience and a resume within the nonprofit space may be well suited to learn and grow within this role.

The Asthma and Allergy Foundation of America- St. Louis Chapter (AAFA-STL) is a nonprofit organization that provides children with lifesaving asthma and allergy medication, ensures school nurses have the equipment they need to treat children having asthma emergencies at school and is building a safer community for those with food allergies.
