POSITION SUMMARY

The Assistant Administrator works in collaboration with the Executive Administrator to manage human resourcing, payroll, purchasing, contracting, bookkeeping, grant reporting, and other general administrative duties. This person is highly organized and detail oriented and plays a crucial role in supporting the organization’s people and overall workflow.

ABOUT POWER4STL

Power4STL is a community of health working to reduce the impact of trauma in the St. Louis region. This includes three core programs: The T, for people at risk for overdose, The BRIC, for people who have experienced bullet injury; and community engagement, focusing on education and therapeutic efforts to reduce the impact of trauma. Through these programs, Power4STL provides public health education, community engagement, self-care resources, harm reduction, support, and direct clinical care for acute and chronic trauma. Power4STL team members include health professionals, community health workers, advocates, peers, and community members with lived experience in trauma and recovery.

Our care is co-located, meaning we provide medical, spiritual, and occupational support in the same space, recognizing our patients as whole people. With this model,  we approach the issues of “gun violence” and “drug use” in the context of what they genuinely are: acute and chronic expressions of trauma. Our Black-led, queer-inclusive collaborative approach promotes radical generosity, building trust, low-barrier access, and whole-person care. Through this approach, Power4STL is bridging the gaps in institution-based support models which are so often re-traumatizing to those experiencing the pain of injury and chronic loss.

RESPONSIBILITIES

Human Resources
●       Manage the end-to-end recruitment process, including job postings, candidate screening, interviews, and offers.

●       Coordinate new employee onboarding, ensuring a smooth transition into the organization.

●       Ensure and maintain accurate, complete, and up-to-date personnel files.

●       Assist with processing payroll.

●       Address employee inquiries, relay information, and collaborate with ADP TotalSource to ensure effective HR, payroll, and benefits processes.

●       Coordinate the exit process for departing employees, including exit interviews and necessary paperwork.

Financial
●       Maintain accurate and up-to-date financial records, including accounts payable, accounts receivable, and general ledger entries.

●       Organize and file financial documents and transactions for easy retrieval.

●       Process invoices, verify expenses, and ensure timely payments to vendors.

●       Generate and send invoices to clients.

●       Work with the Director of Development on maintaining accurate records of grants and contributions to the organization.

●       Compilation of data and narratives for grant reporting.

General Administrative
●       Assist in coordinating supply purchasing, printing, shipping, communications, event management, etc.

●       Serve as a point of contact for internal and external communications.

●       Accurately input and maintain records, databases, and filing systems. Organize and update documentation as needed.

●       Assist in scheduling and coordinating appointments, meetings, and travel arrangements for team members.

●       Manage and prioritize multiple tasks simultaneously, ensuring deadlines are met and important matters are addressed promptly.

●       Address and resolve administrative issues with a proactive and solution-oriented approach.

ESSENTIAL QUALIFICATIONS

●       Experience in a non-profit organization and/or health or healing care setting preferred

●       At least 1 year of experience in an administrative role

●       Core competencies: Strong verbal and written communication, problem solving, flexibility, collaboration/teamwork, trauma awareness, self-starting, passion for Power4STL’s mission

●       Detail-oriented with a focus on accuracy

●       Ability to maintain confidentiality and handle sensitive information with discretion

●       Proficiency in Google Suite, using/updating a database, and ability to learn new computer programs

●       Helpful, but not required:

  • Experience with HRIS (Human Resource Information System)
  • Experience with Quickbooks Online, or other accounting software
  • Experience with Bloomerang, or other donor database/CRM (customer relationship management)

WORKING CONDITIONS

This position requires sitting, typing, frequent encounters with staff, and maintaining a trauma-informed environment.
