About the Position
We are seeking a dynamic and organized Office Administrator to provide high-level administrative support to the school administration and leadership team. The ideal candidate will be detail-oriented, possess strong communication and organizational skills, and be capable of managing multiple tasks in a fast-paced environment. This individual will play a crucial role in ensuring the smooth operation of administrative functions and supporting the school’s mission of providing quality education.

Responsibilities:

Administrative Support:

  • Provide comprehensive administrative support to the school principal, vice principal, and other members of the leadership team.
  • Coordinate and oversee day-to-day operational functions within the school and serve as back-up for the Admissions and Development teams.
  • Manage calendars, schedule appointments, and coordinate meetings, ensuring efficient use of time and resources.
  • Prepare and distribute correspondence, reports, presentations, and other documents as needed.
  • Handle incoming calls, emails, and inquiries, directing them to the appropriate staff members and providing timely responses when necessary.

Office Management:

  • Maintain office supplies inventory and place orders as needed to ensure adequate stock levels.
  • Manage office equipment and coordinate repairs and maintenance as required.
  • Organize and maintain paper and electronic filing systems, ensuring easy retrieval of documents and information.

Event Coordination:

  • Assist in the planning, coordination, and execution of school events, such as parent-teacher meetings, open houses, concerts, etc.
  • Coordinate logistics, including venue booking, catering, invitations, and attendee communication.

Student and Parent Support:

  • Serve as a point of contact for students, parents, and visitors, providing assistance and information as needed.
  • Assist with student enrollment processes, including paperwork, record-keeping, and communication with families.
  • Maintain employee and student handbooks and ensure compliance with school policies and procedures.
  • Work with school leadership to develop and update policies as needed.
  • Organize and administer student medications, documenting and updating associated medical documents and forms.
  • Assist with summer camp coordination, enrollment and payment collection.
  • Manage before/after school care programs including staff, schedules, billing and sign-ups.

Data Management and Reporting:

  • Compile, organize, and maintain student and staff records, ensuring accuracy, confidentiality, and compliance with relevant regulations.
  • Assist in the preparation of reports, surveys, and statistical analyses as required by school leadership and external stakeholders.
  • Function as the subject matter expert on our student information system and perform daily systems tasks including enrollment, report cards, student data and more.
  • Special Projects: Support special projects and initiatives as assigned by school leadership, which may include research, data analysis, and presentation development.

Qualifications:

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • Proven experience as an executive assistant, administrative assistant, or similar role, preferably in an educational or office setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication skills, both written and verbal, with a professional and courteous demeanor.
  • Attention to detail and accuracy in all work activities.
  • Ability to identify and problem-solve a variety of issues, and implement effective solutions in a timely manner is important
  • Willingness to work extended hours, including some early mornings, evenings, and weekends.
  • Ability to exercise good judgment and use discretion with confidential information.
  • Must be approachable, invested in the success of the school, and able to step outside the job description at times for the greater good of the school.
  • Flexibility and adaptability to changing priorities and responsibilities – no hesitation to be a utility player and help where needed!

Work Environment
This position is 100% in-person, with occasional work from home circumstances when needed. The office hours are approximately 8:00am – 4:30pm.  Outside hours, including weekends, may be required during occasional school events.
