SUMMARY OF POSITION
The Facilities & Office Services Assistant provides administrative and facilities support by assisting with the day-to-day operations of the organization.

ESSENTIAL FUNCTIONS and ACCOUNTABILITIES

  1. Provides general office and clerical support as part of the Business Services team
  2. Responds to and completes administrative/facilities requests, including mail merges, copies, and facilities maintenance
  3. Assists with packing, postage, and mailing out program boxes to members
  4. Assists with warehouse organization and inventory
  5. Assists with onboarding of new employees
  6. Provides front entrance reception duties, as needed, to greet visitors and connecting with staff
  7. Assists with gift shop duties including staff relief and inventory
  8. Order supplies (i.e., janitorial, toners, paper, etc.) for the facility as needed and ensure supplies are always available to employees
  9. Coordinates schedules and meetings for internal and external audiences
  10. Assists with the council’s cookie program
  11. Ability to recommend and help implement process improvements
  12. Meets or exceeds all assigned departmental goals and works to support the overall goals of the Council
  13. Works to advance the mission of Girl Scouts and is a collaborative team member
  14. Consistently demonstrate a climate of courtesy, respect and professionalism to staff, volunteers, member, the general public and vendors
  15. Always represents the organization in a professional manner and communicates effectively
  16. All other duties as assigned

QUALIFICATIONS:

  1. High School diploma or equivalent
  2. Two years administrative assistant experience required
  3. Facilities management experience preferred
  4. Certified to (or willing to become certified) operate a Work Assist vehicle (Wav-50) and motorized pallet jack (WP2300)
  5. Supports organizational diversity and fund development goals of GSEM
  6. Analytical and detail oriented with an efficient process mindset
  7. Works collaboratively both internally and externally
  8. Ability to effectively work on multiple tasks simultaneously
  9. Must be proficient in Microsoft Office applications (Word, Excel, PowerPoint)
  10. Must have knowledge of basic office procedures
  11. Experience with using general office equipment (copier, multi-line phone, word processing or personal computer is required
  12. Must have excellent spelling, grammar, proofreading and communication skills; must be able to compose routine letters
  13. Belief in the mission of Girl Scouts

REQUIRED CERTIFICATES, LICENSES, REGISTRATIONS

If your position requires that you drive an average of one (1) day per week or more, you must possess a valid state driver’s license and a driving record that is acceptable to our insurance carrier.

PHYSICAL REQUIREMENTS

While performing the duties of this job, the person in this position:

  1. Must be able to remain in a stationary position 75% of the time.
  2. Constantly operates a computer and other office productivity machinery such as a calculator, copier and computer printer
  3. Positions self to assist with mailing.
  4. May need to move boxes weighing up to 25 pounds across office for various needs.
  5. The ability to observe details at close range or at a distance.
  6. Is required to drive/operate an automobile.
  7. Assist with council outdoor grounds maintenance.

EXPOSURES

Work is performed in a normal indoor environment with limited exposure to outdoor weather conditions, dirt and/or dust.
