Position Summary
The Senior Associate Director of Leadership Events reports to the Assistant Vice Chancellor for Special Events and University Ceremonies, University Advancement. The role of the Senior Associate Director is to manage a team that plans and implements key VIP events designed to cultivate, maintain, and strengthen alumni, parent, and friend ties to the University at the highest levels, including in the chancellor’s home. Oversee or assist with all aspects of event planning.
Job Description
Primary Duties & Responsibilities
- Oversee, manage, and provide assistance as needed for VIP special events at the university including but not limited to events stewarding Principal Gift donors, events in the chancellor’s home or hosted by the chancellor at another location, support for special events for the Board of Trustees, Honorary Degree Dinner, events hosted by the chancellor’s family in conjunction with the university, and other high-level special events.
- Oversee management and/or creation of staffing plans, coordinating volunteers, logistics plans, creating event diagrams, contract negotiations, reserving event space, creating invitations, overseeing data for invitation lists, coordinating and supervising mail house projects, creating timelines, securing speakers, creating seating plans, and assisting with talking points.
- Serve as primary liaison along with the Assistant Vice Chancellor for Special Events and University Ceremonies between University Advancement Special Events with Principal Gifts, the Board of Trustees office, and the Office of the Chancellor.
- Disseminate information, tasks and new protocols from these meetings to Leadership Events team and University Advancement staff as needed.
- Perform other duties as assigned.
Preferred Qualifications
- Experience in higher education.
- Five years of previous event management, including budget management experience.
- VIP event experience.
- Experience in team management.
- Knowledge of and proficiency with computer software (Microsoft Word, Excel, Outlook, PowerPoint, FileMaker Pro) and standard office equipment.
- Experience with email building software and/or graphic design.
- Demonstrated strength in organizational, team and project management skills.
- Familiarity with and appreciation for the mission of the university and the activities of the University Advancement department.
- Desire to play a meaningful role in the University’s community and to share in the community’s commitment to education and research.
- Outstanding oral and written communication skills.
- Ability to work successfully with administration, faculty, alumni, parents, and volunteers as appropriate.
- Ability to listen carefully, learn quickly, and work effectively in a complex organization.
- Exceptional interpersonal skills: demonstrated ability to build and maintain relationships.
- Ability to prioritize and multi-task effectively.
- Desire and ability to work collaboratively with colleagues across development offices, as well as independently.
- Ability to stay task-oriented without supervision.
- Honesty, integrity, and enthusiasm; a very strong work ethic, supported by commitment and follow-through.
- Knowledge of and proficiency with computer software (Microsoft Word, Excel, Outlook, PowerPoint, FileMaker Pro) and standard office equipment.
- Experience with email building software and/or graphic design preferred.
- Experience with high level executives and C-suite event and communication expectations.
Required Qualifications
- Bachelor’s degree.
- Minimum of three to five years of related experience.

Salary Range
The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one’s qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
