Whitfield School

Whitfield School, an innovative educational institution for students in grades 6-12, announces an opening for an Events Manager.

Whitfield seeks an energetic and experienced professional to provide school-wide event management and calendar management.

The successful candidate will bring event planning experience, exceptional organizational skills, energy and enthusiasm to collaborate with colleagues, key administrators, and parent volunteers. In addition to having the proven ability to simultaneously handle multiple tasks and projects, this individual must be a strategic planner and creative thinker, highly-organized, and detail-oriented with outstanding interpersonal skills.

This is a full-time, 12-month staff position.

Specific Responsibilities

Event Manager

  • Maintain the school-wide calendar and space requests for internal and external constituents.
  • Oversee school-wide community events and meetings.
    • Plan, communicate, and execute all school events and serve as liaison for hosted external events
    • Oversee event budgets
    • Manage on-campus space reservations and rentals
    • Coordinate with internal and external vendors regarding food services, facilities/maintenance, security, transportation, parking, A/V, decor, furniture rentals, etc.
    • Manage and maintain an inventory of in-house supplies
    • Plan and oversee run-of-show for major school events, including rehearsals and walk-throughs with key participants; coordinating with the director of communications and the academic leadership to create programs, scripts, etc.
    • Prepare weekly “Event Breakdown” worksheets for distribution to facility staff, administrative staff, et al.
  • Attend Parents Council meetings and serve as liaison between the Council and the School Administration.

The strongest candidates will possess or demonstrate the following:

  • Minimum of three years experience in event planning or related fields.
  • Strong organization, prioritization, and planning skills with a keen attention to detail.
  • Ability to work independently and to take initiative in collaboration with colleagues, parents, volunteers, and outside organizations.
  • Ability to work, as needed, at events taking place on weekends and evenings
  • High proficiency in Microsoft Office Suite and/or Google Suite.
  • Safely lift and transport materials or products weighing up to 25 lbs.
  • Commitment to working in, and with, a diverse school community and to maintaining the highest professional and ethical standards.
