Reports To: Executive Director

Office Environment: Hybrid work schedule, reporting for in-office work 1-2 days per week based on business needs. Brick and mortar office located in St. Louis, MO (in the Westport area).

Regular Schedule: 37.5 hours a week, Monday-Friday, 8am CT- 4pm

Responsibilities:

  • Manages accounting entries and ensures accuracy of reporting- position utilizes QuickBooks and an internal Microsoft Dynamics database.
  • Manages accounts receivable and accounts payable activities.
  • Completes vendor forms and W-9 requests
  • Responsible for bank reconciliation.
  • General Ledger oversight – creates all general ledger entries per bank statements, payroll journal, oversees credit card statements.
  • Creates all year-end entries such as prepaid expenses, payables, accrued expenses, depreciation, deferred revenue, and refundable advances.
  • Keeps schedule of investment activities
  • Maintains depreciation schedule
  • May assist in annual budgeting, per request from the executive director
  • Prepares and submits monthly financial reporting
  • Submits payroll, salary changes, withholding and other benefit information to contracted payroll service vendor
  • Acts as an integral part of the audit team, preparing documentation and working on auditor requests.
  • Prepares tax documents, IRS declarations, group exemption letters, forms 5550 and 8955 and yearly state registration paperwork.
  • Partners with outside vendor for annual charitable solicitation registrations.
  • Maintains organization’s permanent files and record keeping, including employee files and statement of benefits document.
  • Other duties as assigned.

Qualifications:

  • Associate degree or higher in Accounting
  • Must have at least one year of non-profit accounting experience, preferably with a membership association.
  • Knowledge of general accounting practices and standards for non-profit entities is required.
  • Experience creating and presenting financial reporting.
  • Proficient in QuickBooks and Microsoft Office software.
  • Must be able to successfully work independently, managing multiple projects simultaneously.
  • Communicates effectively with both internal and external parties.
  • Experience working with c-suite and boards is a plus
  • HR/benefits administration experience a plus
