Position Summary
The Administrative Coordinator plays a key role in the day-to-day operations of our organization. This position provides administrative, financial, fundraising, and program support to ensure smooth office operations and effective delivery of services. The ideal candidate is detail-oriented, comfortable multi-tasking in a small team environment, and has a strong understanding of 12-Step recovery principles.
Key Responsibilities
- Provide general administrative support, including scheduling, phone and email correspondence, and maintaining organized records and files.
- Assist with program coordination, recipient communications, and event logistics.
- Update and maintain databases, mailing lists, and CRM systems to ensure accurate records.
- Support bookkeeping functions using QuickBooks, including expense tracking, invoicing, and report preparation.
- Prepare and format letters, documents, and reports using Google Suite.
- Assist with donor communications, mailings, and social media updates as needed.
- Collaborate with staff and volunteers to support the organization’s mission and daily operations.
Qualifications
- Passion for helping others and commitment to recovery-focused work.
- Working knowledge or personal familiarity with 12-step substance use disorder recovery programs.
- Strong communication and interpersonal skills.
- Proficiency in QuickBooks, Google Suite, and CRM/database software. Tech-savvy and can learn new software programs easily.
- Highly organized, reliable, and able to manage multiple priorities, including one-time projects.
- Comfortable working both independently and as part of a collaborative team.
- Previous nonprofit or small-office experience preferred.
Schedule and Compensation
- 12–15 hours per week, with potential for additional hours during busier time periods. Occasional evening and weekend events are required.
- $22-$25 per hour based on experience
- In-person position at our Warson Woods office (not remote).
- Accrued paid time off and paid holidays (based on hours worked per week)
