The Programs Achieving Quality (PAQ) initiative—run in partnership with the Community Impact Network and housed under Urban Sprouts’ Community of Practice—supports early learning providers in building stronger programs through coaching, shared learning, and practical resource delivery. The PAQ Administrative Coordinator will be critical to the day-to-day delivery of that work, handling scheduling, logistics, reporting, diaper and materials delivery, and the operations that make coaching and community learning possible.

The Opportunity — why this job matters
You will be the operational backbone for PAQ and the Community of Practice: making complex schedules run smoothly, ensuring timely delivery of resources (diapers and other family supports), keeping stakeholders informed through clear reporting and notes, and strengthening the systems that let coaches and program leaders focus on teaching and learning. This is a high-impact, high-visibility role where your organization, communication, and project-management skills will directly translate into better outcomes for children, families, and educators.

Core Responsibilities
You’ll own or support the following day-to-day functions:

  • Scheduling & Calendar Management
  • Maintain and coordinate calendars for PAQ coaches, Community of Practice leadership, and partner events.
  • Schedule one-on-one coaching visits, group sessions, meetings, and community events with attention to deadlines and stakeholder availability.
  • Logistics & Resource Delivery
  • Manage ordering, receiving, and distribution logistics for program supplies (including free diaper delivery/distribution in partnership with local diaper banks).
  • Coordinate site visits, room/location needs, food/supplies, and vendor relations for Community of Practice events.
  • Project & Systems Management
  • Track action items and project tasks in tools like Monday.com and Asana; maintain clean, actionable boards so teams can move quickly.
  • Maintain CRM records and intake tracking (Salesforce experience is a plus).
  • Reporting, Note-taking & Communications
  • Produce meeting notes, action logs, and timely project or funder reports.
  • Prepare weekly/monthly summaries to keep leadership and partners informed.
  • Draft and send stakeholder communications, confirmation emails, and calendar invites with clear next steps.
  • Operations & Continuous Improvement
  • Create and refine systems, templates, and checklists that make the team more efficient.
  • Troubleshoot operational issues and proactively recommend process improvements.

Qualifications & skills
Required

  • 2+ years of administrative, operations, or project coordination experience (preferably in nonprofit, education, or community settings).
  • Strong organizational skills: comfortable managing multiple calendars, competing priorities, and detailed logistics.
  • Excellent written and verbal communication; strong note-taking and the ability to synthesize meeting outcomes into clear next steps.
  • Proficiency with Google Workspace (Docs, Sheets, Calendar) and comfort learning project management tools (Asana, Monday.com, etc.).
  • Comfortable with hands-on logistics (coordinating deliveries, meeting set-up) and occasional driving/transport for deliveries (valid driver’s license and insurance preferred).

Preferred

  • Experience with Salesforce or similar CRMs.
  • Prior experience supporting program teams, coaching initiatives, or community outreach.
  • A solutions-oriented mindset: calm under pressure, resourceful, and eager to improve systems.

Physical/Practical

  • Ability to lift and move boxes and supplies (typical diaper case weights and event equipment).
  • Flexibility for occasional evening or weekend events.

Compensation & Benefits
Base salary: range $48,000–$52,000 depending on education and experience
