Position Description: This position is responsible for supporting compliance, monitoring, and financial tracking for grants, proposals, and sponsorships from foundations, corporations, and government agencies. Financial tracking includes developing project budgets, post-award budget revisions, developing and building cash flows, tracking project expenses for awarded funds, and reporting project expenses. Compliance and monitoring include tracking project activities, maintaining accurate, up-to-date records and data, providing internal notice of award via email and an internal project management system, and working with the internal evaluation team to align activities with impact.

The Manager, Grants Administration will support the Community Impact Team by providing up-to-date financials and deliverable tracking to enable timely, informed decision-making that better serves our region. Reporting to the VP and Chief Impact Officer, this position will work independently to help ensure financial reporting is accurate, consistent, and aligned across various funders and projects.

Ideal Candidate: The ideal candidate for this role is someone who has demonstrated experience in the post-award grant process and has successfully managed the financial and deliverable tracking of multiple grants across multiple projects. They will understand all aspects of the grant lifecycle, with a keen eye for detail, strong time management skills, and an interest in being a collaborative member of the impact team.

Primary Responsibilities: The following primary responsibilities are vital to successfully meeting the expectations of this position in an effective and efficient manner. This is not an exhaustive list and areas of focus may fluctuate, as needed.

  • Draft project budgets for grants, proposals, and sponsorships based on past expenses and funder guidelines.
  • Upload financial information and attachments for grant submissions and reporting as needed, including preliminary statements of financials, project budget narratives, 990s, audited financials, revenue breakdowns, or other materials upon request.
  • Maintain complete, accurate, and audit-ready grant records within the donor database and internal systems.
  • Notify the impact team of electronic transfers, checks, or online payments to ensure timely funder acknowledgement.
  • Update monthly release spreadsheets by project code for discussion at monthly in-person release meetings, including pulling payroll and fringe by staff person.
  • Update monthly cash flows to reflect changes in project timelines.
  • Monitor budget-to-actuals by providing regular analysis to identify over- or under-spending and support action planning.
  • Advise program staff on allowable expenditures per award terms and activities.
  • Monitor and document timely tracking of grant deliverables to ensure they are aligned with funder priorities and Nine PBS strategic priorities.
  • Act as the main point of contact for all grant related deliverables and activities, and cultivate cross-departmental collaboration by employing clear communication of needs and objectives.
  • Partner with program teams to collect required data, outcomes, and supporting materials for reporting.
  • Attend weekly meetings with Community Impact Team to support workflow and collaboration on grant and reporting requirements.
  • Lead grant close-out processes, including reconciliations, final financial reports, final invoices, and required funder documentation.
  • Monitor ongoing grant activities to ensure compliance with funder requirements.
  • Develop a knowledge of Nine PBS’s initiatives and goals, with the ability to communicate effectively both orally and in writing.
  • Perform other related duties as assigned to ensure the efficient and effective functioning of the work unit.

Qualifications: At least three years of non-profit budget and financial reporting experience. Strong skillset using Excel, Sage, Google Docs, Office 365, and Outlook required. In addition, the following skills and attributes are preferred.

  • Experience working closely with community organizations in a professional capacity, preferably related to early learning, or some aspect of community engagement.
  • Strong customer service, communication, organizational, and planning skills.
  • Proven ability to work collaboratively across multiple teams to fully understand organizational needs.
  • Knowledge of grant financial tracking for non-profit organizations.
  • Understand various tracking and reporting strategies in line with the funding guidelines of corporate, foundation, and local/state/federal agencies.
  • Proven ability to prioritize, work independently, under pressure, meet deadlines, and take direction.
  • Ability and willingness to work a varied schedule, when needed.
  • Proven ability to handle interactions with diplomacy, give and receive feedback comfortably, and be a contributing team member at all times.

Hybrid Schedule: This position is eligible for a hybrid schedule, typically working 2-3 days in the office each week. Virtual work schedule must be approved by supervisor. Must work on-site on Tuesdays, as well as attend all team meetings, one-on-one meetings, and all-staff meetings.
