POSITION SUMMARY
The Front Desk Administrator manages the reception area at the main entrance of Delmar DivINe and is often the first person to engage with tenants, visitors, volunteers and community members. This position plays a significant role in tenant communication and visitor management. This role requires a respectful, helpful and professional approach in all interactions, as well as attention to detail and following written procedures. This position requires continuous in-person coverage of the front desk and the ability to remain at the workstation for most of the shift, except for scheduled breaks. Consistent on-site presence is an essential function of this role.
KEY RESPONSIBILITIES
- Greet tenants and visitors politely; direct people to appropriate locations and services; remain courteous and helpful to everyone entering the building.
- Assure readiness of the reception area for each working day; arrive on time with all front desk activities fully operational at the start of business hours.
- Prepare the building schedule to support facilitation of daily events and operations; notify appropriate team members of potential updates or conflicts.
- Provide efficient and professional phone services; transfer calls, listen and respond to voice messages.
- Support the organization and facilitation of mail and packages for tenants.
- Secure the front office area at the close of each working day; turn off or unplug appliances and machines.
- Participate in staff meetings; create monthly metrics reports; provide administrative support as needed to Delmar DivINe staff, and other duties as assigned.
QUALIFICATIONS
- Prior experience in reception, administrative, or public-facing roles.
- Experience working and communicating effectively with people of diverse backgrounds.
- Able to work efficiently in a fast-paced environment and remain professional under pressure.
- Proficiency in written and spoken English, demonstrated initiative and organizational skills.
- Working knowledge of Microsoft, Zoom, Google Suite, and the ability to learn new software.
WORKING CONDITIONS
Performed in a typical office environment, Monday through Friday, 8:30am – 5:30pm. Average physical effort with infrequent handling of packages, supplies or materials ~10-25 pounds.
SALARY RANGE/BENEFITS
Salary range: $40,000 – $45,000, full-time, non-exempt, including health, vision, and dental insurance, with eligibility for vacation, personal time, and holiday benefits.
