Duties

  • Maintain and manage client databases; this includes tracking event participation, membership levels/renewals, updates/edits, giving activity, and reporting
  • Provide administrative support to client boards; this includes tracking participation, coordinating meetings, meeting preparation and taking minutes.
  • Provide administrative support to committees including scheduling meetings, correspondence, reporting and note taking
  • Assist with coordinating, manage registration for, and staff learning and professional development opportunities including lunch meetings, seminars, social events, and webinars (numbers subject to change)
  • Assist with coordinating, manage registration for, and staff various events including an annual conference, luncheons, and donor and fundraising events.
  • Manage client program/scholarship application processes
  • Support all marketing and communication initiatives including e-blasts, newsletters and other correspondence
  • Update website and other marketing resources/platforms
  • Track gifts and ensure timely acknowledgements
  • Work in collaboration with bookkeeper to ensure timely and accurate processing of payables/receivables, budgeting and reporting
  • Order and maintain supplies for events/meetings
  • Manage client email and phone
  • Organize and maintain files
  • Provide friendly, professional customer service to clients and their patrons
  • Other duties as assigned

Skills/Qualifications

  • 3 – 5 years administrative assistant experience;  College degree preferred
  • Nonprofit experience preferred
  • Exceptional computer skills; proficient with MS Office software, social media and email marketing platforms; experience with Constant Contact a plus
  • Strong organizational, planning, and time-management skills
  • Strong verbal and writing skills with exceptional attention to detail
  • Proficient in managing business correspondence, files, and records
  • Knowledge of general office procedures and equipment
  • Ability to work independently and as part of a team
  • Excellent customer service orientation
